Duties
- Manage and coordinate executive calendars, scheduling meetings, appointments, and travel arrangements with precision and efficiency
- Provide comprehensive administrative support including email management, transcription, proofreading, and document preparation
- Organize and oversee office operations such as filing, data entry, bookkeeping using QuickBooks, and maintaining office supplies
- Facilitate communication through professional phone etiquette, multi-line phone systems, video conferencing software, and collaboration tools like Google Workspace and Microsoft Office
- Assist with event planning for company meetings, conferences, and special events while ensuring all logistics are handled seamlessly
- Support project coordination efforts by tracking deadlines, preparing reports, and collaborating with various teams to meet organizational goals
- Handle personal assistant responsibilities such as managing personal schedules for executives and coordinating personal errands when needed
Skills
- Proven experience as a Personal Assistant or Executive Assistant with strong office management skills
- Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Proficiency in productivity software including Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry tools
- Technical proficiency with video conferencing software (e.g., Zoom, Microsoft Teams), Docusign for document signing, and multi-line phone systems
- Experience with bookkeeping software like QuickBooks and basic accounting or bookkeeping tasks
- Excellent written and verbal communication skills coupled with professional phone etiquette
- Strong attention to detail for proofreading, transcription, filing, and data accuracy
- Ability to collaborate effectively with C-suite executives and cross-functional teams while maintaining confidentiality
- Demonstrated ability to handle multiple projects simultaneously while maintaining high productivity levels
