Description Summary:
The Corporate Office Coordinator serves as the primary point of contact for callers and visitors while overseeing the daily organization and operation of the corporate office. This role manages phones, mail, shipments, supplies, office equipment, visitor access, employee events, and general administrative support to ensure the office remains professional, efficient, and welcoming. The Corporate Office Coordinator usually works under direct supervision and expected to work as long as necessary to perform his/her job responsibilities.
Responsibilities:
- Owns the day-to-day operation and organization of the corporate office, ensuring a professional, efficient, and welcoming environment.
- Serves as the primary point of contact for incoming calls and directs inquiries to the appropriate department, branch, or employee.
- Maintains working knowledge of the company phone system and assists with basic administration and troubleshooting.
- Provides professional support to callers and visitors, including company information, office locations, and directions.
- Greets visitors, determines the purpose of their visit, notifies appropriate personnel, and maintains visitor records.
- Coordinates incoming and outgoing mail, UPS, FedEx, and other shipments.
- Maintains office equipment, coordinates repairs, and assists employees with basic issues.
- Orders, stocks, and manages office and kitchen supplies.
- Coordinates office events, including birthdays, team lunches, and employee activities.
- Identifies office needs and recommends improvements to support efficient operations.
- Provides general administrative support, including filing, scanning, copying, document preparation, and recordkeeping.
- Supports the management team with additional duties and special projects as needed.
Knowledge, Skills, and Experience
Essential:
- Strong interpersonal skills for interacting with employees, customers, and vendors.
- 1 year of related experience and/or training.
- Ability to conduct detailed written or oral instructions.
- Must be able to pass a drug test, background check, and fit for duty test.
- High School diploma or equivalent.
Desired:
- Strong computer skills.
- Identifies and resolves problems in a timely manner.
- Manages difficult or emotional customer situations.
- Prefer candidates with proficient oral and written communication skills, technical skills, and functional skills.
Pay: $24.00 - $29.00 per hour
