We are seeking a versatile and detail-oriented Office Assistant to support daily office operations, encompassing a wide range of administrative tasks and billing duties.
Responsibilities
- Office Administration: Manage front-office activities, including answering phones and greeting visitors. Maintain a tidy and well-stocked office, break area, and classrooms by managing inventories for all supplies and submitting orders as needed. Act as the primary contact for copier/printer service and maintenance. Handle various other administrative tasks and errands, including banking and post office runs.
- Billing and Invoicing: Prepare and issue accurate invoices, ensuring they align with contracts and company pricing policies. Process, record, and reconcile incoming payments, and support the controller with billing-related tasks as needed.
- Administrative Program Support: Provide comprehensive administrative support for training initiatives. Key tasks include the timely production and assembly of all educational materials, organizing documentation packets, and handling the logistics of material delivery for both on-site and off-site sessions and ensuring all related documentation is filed in accordance with company and agency protocols
- Technical Support: Manage and maintain schedules and adjustments as needed.
Qualifications
- Education: An associate’s degree is required. Bachelor's degree preferred.
- Experience: At least 2 years of experience in a related administrative or bookkeeping role.
- Skills: Proficiency in Microsoft Office, Outlook and QuickBooks.
· Experience/background in the environmental industry a plus.
