Human Resources Coordinator
Employment Type: Full-Time
Location: Fairfield, NJ, Byram, NJ 2x a month and as an on-needed bases
Schedule: Monday-Thursday 8:00 AM - 5:00, Friday 8:00 am-3:00 pm
Note: This role is 100% on-site only (not remote or hybrid).
Salary: $50,000-$60,000 (Exempt) bonus potential
Position Summary
The Human Resources Coordinator serves as a key partner and trusted right hand to the Director of Human Resources, providing essential support across a broad range of HR functions. The HR Coordinator is responsible for owning and executing critical administrative HR processes, maintaining the integrity of HR systems and records, supporting recruitment and onboarding efforts, coordinating employee engagement initiatives, assisting in weekly payroll processing and ensuring consistency across all functions.
Key Responsibilities
HR Operations & Administration
- Serve as a primary support resource to the Director of Human Resources on day-to-day HR initiatives, projects and administrative tasks.
- Maintain accurate employee records and ensure data integrity within the Human Resources Information System (HRIS).
- Process employee status changes, compensation updates, organizational changes, and other HR transactions accurately and timely.
- Create, maintain, and update HR forms, templates, internal reports, correspondence, and documentation.
- Support meeting planning by preparing agendas and documenting key takeaways and next steps.
- Assist employees with HRIS-related questions and troubleshooting.
- Assist in processing weekly payroll for hourly and salary employees
- Assist with open enrollment, employee benefits changes, and respond to inquiries.
- Ensure compliance with company policies, procedures, and recordkeeping requirements.
- Develop and maintain standardized templates, procedures, and documentation to support operational excellence.
- Support special HR initiatives, reporting, audits, and organizational projects as assigned.
- Maintain strict confidentiality of employees and organizational information.
Recruitment & Talent Acquisition
- Create, post, and maintain job advertisements across various job boards and recruiting platforms.
- Support hiring managers and the HR Director throughout the recruiting process.
- Represent the organization at occasional career fairs and recruiting events.
- Assist in preparing offer letters and employment documentation.
Onboarding & Employee Experience
- Coordinate and oversee the onboarding process for new hires.
- Ensure all pre-employment and onboarding requirements are completed prior to start dates.
- Coordinate with IT to ensure new employees have the necessary equipment, access, and resources for their first day.
- Facilitate a seamless and positive onboarding experience.
- Support employee engagement programs, recognition initiatives, and company events (Holiday party, Employee Anniversaries, Birthdays, etc.)
Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
- 2–3 years of experience in Human Resources, HR Administration, HR Assistant or a related role.
- Experience working with HRIS platforms and maintaining employee data preferred.
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Strong organizational and administrative skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Ability to handle sensitive and confidential information with professionalism and discretion.
