This position plays a key role in supporting citywide strategic planning, performance management, and innovation efforts, as well as enterprise communications, by managing workflows, coordinating cross-departmental activities, and ensuring the efficient operation of the PPI function. The PPI Coordinator also provides advanced administrative, organizational, and project support to the Deputy City Administrator of Planning, Performance, and Innovation (DCA-PPI).
Project & Initiative Coordination

Administers recurring enterprise planning and reporting cycles, including submission tracking, deadline management, and status escalation to the DCA-PPI.

Supports the execution of special projects assigned by the DCA-PPI.

Maintains project management documentation, dashboards, and tracking tools aligned with PPI enterprise practices.

Tracks milestones, deliverables, and progress for enterprise strategic planning and performance initiatives.

Maintains tracking of executive commitments, action items, and follow-up deadlines, and provides status reports to the DCA-PPI.

Coordinates project meetings, cross-departmental work sessions, and follow-up activities.

Manages meeting cadence and logistics for leadership and executive team meetings, including agenda development, advance distribution of materials, and documentation of decisions and follow-up actions.
Data & Performance Support

Develops, organizes, and prepares materials for KPI reporting and data governance activities.

Coordinates and supports development and completion of the Monthly Performance Review (MPR) and Quarterly Management Review (QMR) processes.

Coordinates and supports training related to data literacy, analytics, and evaluation practices.

Collects and organizes departmental inputs for enterprise reporting and transparency initiatives.

Supports certification, benchmarking, and external assessment activities, including documentation, evidence collection, and coordination of departmental data submissions.

Prepares agendas, materials, and follow-up documentation for governance committees and standing bodies supported by the PPI function.
Innovation & Strategic Communications Support

Drafts internal communications, announcements, and memos supporting enterprise strategic messaging, in coordination with the Communications Department.

Coordinates logistics and materials for innovation workshops, public meetings, and community engagement events.

Maintains working relationships with internal staff, external partners, research institutions, and stakeholders to support collaboration.
Administrative Operations

Supports procurement, purchasing, budgeting, invoice processing, and financial documentation for the PPI function.

Manages and prioritizes the DCA-PPI’s complex calendar, meetings, and scheduling needs.

Coordinates travel arrangements, conference logistics, and event preparation.

Prepares executive-level agendas, strategy documents, presentations, and materials.

Performs other duties as assigned.
Education and Experience:
-
Requires an Associate’s degree; Bachelor’s degree in Public Administration, Business Administration, Communications, Data Analytics, or a related field preferred.

Three (3) years of project management, administrative, executive support, or coordination experience, preferably in government, public administration, or an enterprise operational setting.

Experience supporting senior leadership strongly preferred.
Licenses or Certifications:

Valid State of Georgia Driver’s License or ability to obtain one within 90 days.

Project management training or certification preferred.
Knowledge, Skills, and Abilities:

Excellent written and verbal communication skills.

Ability to maintain confidentiality and handle sensitive information.

Proficiency in Microsoft Office Suite, including Excel, PowerPoint, and SharePoint;

Skill in collecting, organizing, and verifying data from multiple departments for reporting and benchmarking purposes.

Ability to exercise discretion, tact, and sound judgment when interacting with elected officials, executive leadership, and external partners.

Familiarity with municipal government operations, strategic planning, performance management, or innovation.

Ability to handle highly sensitive, confidential, and strategic information with absolute integrity.
The work involves light physical exertion, typically requiring a combination of stooping, kneeling, crouching, and lifting materials weighing 12 to 20 pounds. Tasks may require extended periods at a workstation and involve sensory acuity and oral communication skills.
Work is typically conducted in environments free from adverse conditions.
