SCHEDULING / OPERATIONS COORDINATOR
The scheduling / operations coordinator completes the schedule for everyone involved in our patients' care on a daily basis - this includes scheduling for the doctors' appointments, sessions with the therapist, IV therapy and accommodating outside appointments as well. The scheduling / operations coordinator is responsible for ensuring that the schedule and operations run as smoothly as possible each day for the patients and staff.
Responsibilities are below to include:
- Schedule all patient appointments including office visits with the doctors, all the enhancement therapies and medical treatments
- Regularly communicate and coordinate with therapists, doctors, nurses and patients and patient caregivers
- Complete and distribute each patient's schedule daily.
- Make sure the CareTeam knows their schedule for the next day.
- Ensure that the prescribed treatment plan is followed and scheduled for the patient
- Responsible for notifying and coordinating any changes for all treatments with patients, therapists, nursing & other staff each day
- Schedule appointments and notify patients for outside procedures to include: PORTs, PICC Line, PET/Ct, Blood or Platelet Transfusion, Paracentesis, Thoracentesis, etc
- Assist new patient with portal set up. Make orientation inquiry call and inform staff
Other Duties:
- Orientation calls pre-arrival for new patients
- Assists & greets new patients and visitors.
- Assist with orientation after arrival.
- Answer phones/take messages/transfer calls as needed
- Assist with additional office tasks as needed
Requirements:
Minimum three years medical front office experience - surgery scheduling experience a plus
Must be proficient in Outlook, Word, searching online
Must be excellent with Excel formatting
Strong interpersonal communication ability
Ability to multitask
Ability to deal effectively with interruptions
Ability to meet deadlines
Openness to learning
Committed to being a strong team member
Reliable and positive attitude
Highly organized, detail-oriented
Leadership characteristics and ability to work well with multiple personalities
Must have a calm but very pleasant nature and work well under high pressure
Lives healthy lifestyle vegan or vegetarian is preferred
