This position requires prior experience working in a medical spa or aesthetic practice using Zenoti. We're looking for someone who understands the fast-paced world of aesthetics, patient consultations, treatment coordination, scheduling, and delivering an exceptional patient experience.
This position is ideal for someone who thrives on organization, takes ownership, anticipates needs, and enjoys making things run smoothly. You'll work closely with our providers to manage daily operations while ensuring an outstanding experience for every patient.
This is not a traditional office manager role, nor is it simply a front desk position. We are looking for a highly organized, self-driven professional who doesn't wait to be told what to do. Someone who sees what needs attention, takes initiative, and follows through with excellence.

What You'll Do
Every day is different, but your responsibilities may include:
- Serve as the providers' executive assistant by helping manage daily priorities, schedules, projects, and follow-up.
- Coordinate the day-to-day operations of the practice to ensure efficiency and excellence in patient experience.
- Use Zenoti to manage scheduling, patient records, memberships, packages, and treatment coordination.
- Welcome patients and provide a high-end, concierge-level experience from start to finish.
- Educate patients about aesthetic and wellness services and confidently discuss provider-recommended treatment plans.
- Help patients understand memberships, packages, treatment options, financing, and pricing.
- Follow up with prospective and existing patients to answer questions, build relationships, and encourage treatment acceptance.
- Assist in converting consultations into scheduled treatments through education, trust, and exceptional service—not high-pressure sales.
- Support patient retention, marketing initiatives, and practice growth.
- Communicate professionally with patients, vendors, and the clinical team.
- Help improve office systems and workflows for greater efficiency.
- Anticipate the providers' needs and keep daily operations organized and on track.
- Be someone the providers and team can depend on to keep everything moving forward.

Qualifications
Required:
- Minimum of 2 years of experience working in a medical spa or aesthetic practice using Zenoti.
- Experience with patient consultations, treatment coordination, or aesthetic treatment sales.
- Strong ability to educate patients and confidently recommend treatment plans, memberships, and packages.
- Excellent communication, customer service, and organizational skills.
- Ability to work independently and take ownership of responsibilities.
Experience in any of the following is highly preferred:
- Medical Spa Coordinator
- Patient Care Coordinator
- Treatment Coordinator
- Executive Assistant
- Aesthetic Consultant
- Front Office Lead
- Practice Coordinator
Additional qualifications:
- Experience with aesthetics, injectables, lasers, body contouring, skin care, IV therapy, or medical weight loss is a plus.
- Strong follow-through and a commitment to delivering an exceptional patient experience.
- Experience with memberships, packages, and recurring patient programs is highly valued.

Pay: $48,000.15 - $57,806.63 per year
