Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities
- Manage front desk operations, including greeting visitors and handling phone calls with professionalism and courtesy
- Perform data entry and maintain accurate records using spreadsheets, Microsoft Office, Google Workspace, and other productivity software
- Coordinate calendar management and schedule appointments for team members or clients with attention to detail
- Handle clerical tasks such as filing, proofreading documents, and preparing Word processing materials efficiently
- Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking
- Assist with office management duties such as ordering supplies, organizing files, and maintaining office equipment
- Provide excellent customer support through phone communication, client communication, and in-person interactions while demonstrating proper phone etiquette
Experience
- Previous office experience or administrative experience demonstrating organizational skills and technical proficiency
- Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation and collaboration
- Experience with data entry, filing systems, and clerical tasks in a fast-paced environment
- Knowledge of QuickBooks or other bookkeeping software is preferred but not required
- Strong typing skills with attention to accuracy; ability to proofread documents effectively
- Bilingual abilities are a plus for communicating with diverse clients or team members
- Experience in real estate receptionist roles or as a personal assistant is advantageous but not mandatory
