Parts & Service Solutions Coordinator
Technical Accuracy & Customer Growth Focus
Access is a premier manufacturer's representative and service provider based in Wisconsin, supporting mission-critical infrastructure across the state — with national and international reach.
We work on systems where failure is not an option — power, cooling, and monitoring solutions that keep facilities operational.
We are looking for a driven, detail-obsessed Parts & Service Solutions Coordinator who takes pride in getting things right and is energized by solving problems for customers.
A Note on Scope
This is a single, well-rounded role at a growing but still small company — not two jobs stitched together. The parts research and customer work is the heart of it, with light, occasional warehouse and receiving tasks mixed in. All of it fits comfortably inside a standard work week.
The Role
This role is responsible for researching, identifying, quoting, and coordinating parts for service work and customer needs. It also includes some light, hands-on tasks around our (currently small) parts inventory — keeping things tidy, handling occasional manufacturer returns, and helping receive the occasional delivery.
You will report to the Service Operations Leader (SOL) and work closely with:
▸ technicians in the field
▸ service leadership
▸ manufacturers and vendors
▸ customers
You will also play a key role in supporting and growing our parts business — through technical accuracy, trust, and execution.
What Success Looks Like
A successful Parts & Service Solutions Coordinator:
▸ Gets the right part the first time
▸ Takes ownership of complex part research (doesn't guess)
▸ Keeps our small parts area tidy and organized, and knows what's on hand
▸ Handles manufacturer returns without things falling through the cracks
▸ Moves quickly but never sacrifices accuracy
▸ Communicates clearly with customers and internal teams
▸ Builds trust with customers through reliability
▸ Identifies opportunities to support and grow the business
Core Responsibilities
Technical Parts Research (Priority #1)
▸ Identify correct parts for complex systems and equipment
▸ Work through manufacturer documentation, BOMs, and support channels
▸ Validate part numbers and compatibility before quoting or ordering
▸ Support technicians in diagnosing and sourcing correct components
Accuracy is non-negotiable in this role.
Quoting & Order Execution
▸ Prepare accurate and complete parts quotes
▸ Process orders with manufacturers and suppliers
▸ Track orders and proactively manage timelines
▸ Ensure orders are completed correctly from start to finish
Customer Communication & Service Team Support
▸ Communicate directly with customers regarding parts needs and timelines
▸ Build trust through responsiveness and follow-through
▸ Coordinate with dispatch and technicians so jobs are properly equipped
Light Warehouse & Receiving Duties
Given our current size, this is a manageable, minor part of the week — not a second job.
▸ Keep our small parts/stock area clean and organized
▸ Handle manufacturer returns as they come up
▸ Occasionally help unload a delivery truck (forklift training provided)
Parts Business Growth (Built on Trust)
▸ Identify opportunities to support customers with additional parts needs
▸ Follow up on quotes and open opportunities
▸ Build long-term customer relationships
Growth happens by being reliable, responsive, and technically strong.
What We're Looking For
This role is for someone who:
▸ Is extremely detail-oriented
▸ Has a strong sense of ownership and accountability
▸ Is driven to get the right answer, not the fast answer
▸ Is comfortable working through complex technical information
▸ Doesn't mind occasionally pitching in on light physical tasks
▸ Communicates clearly and confidently
▸ Brings energy and urgency to their work
You Might Be a Great Fit If You:
▸ Double-check your work because accuracy matters to you
▸ Enjoy solving technical puzzles
▸ Take pride in being reliable and dependable
▸ Like working with both people and systems
▸ Want to grow into a role with more responsibility over time
Physical Requirements
▸ Occasional forklift use to help unload a delivery truck (Access will train/certify — this is a small, infrequent part of the role)
▸ Ability to lift and carry parts as needed
▸ Comfortable working in a combined office/light-warehouse environment
Preferred Background
Helpful but not required:
▸ Parts coordination or service support experience
▸ Mechanical, electrical, HVAC, or technical exposure
▸ Experience working with manufacturers or contractors
▸ ERP or service system experience
We will train the right person with the right mindset.
Compensation
▸ Hourly Pay: $22–$26 per hour
▸ Performance Bonus: Target bonus of 6% of annual earnings
Quarterly bonus tied to:
▸ Parts Gross Profit
▸ Parts Revenue
▸ Execution and performance (manager score)
▸ Performance accelerators up to 125% payout
Why Access
We are not a transactional business.
We are a trusted partner to our customers, helping them solve real problems in environments where uptime matters.
You'll work alongside a team that values:
▸ accountability
▸ technical excellence
▸ collaboration
▸ continuous improvement
