THE ROLE
We are looking for an Operations Coordinator who is wired to execute. This is not a planning role or a strategy role — it is an execution role, and that distinction matters. The right person is someone who sees an open task and closes it, who tracks details without being asked, and who keeps things moving even when no one is watching.
You will be the operational backbone of our client service model — the person responsible for making sure nothing falls through the cracks between advisor conversations and client outcomes. You will work closely with our advisors and a fractional operations consultant to maintain continuity, quality, and pace.
WHAT YOU’LL OWN
- Monitor and respond to client emails and service requests with professionalism and appropriate urgency
- Track, process, and follow up on paperwork, DocuSign workflows, account transfers, and custodian correspondence
- Support the Value Max client process — coordinating project logistics, tracking milestones, and ensuring follow-through on action items alongside the lead advisor
- Prepare documentation for client meetings and ensure post-meeting follow-up is completed on time
- Maintain client records and task hygiene in Wealthbox (our CRM) so advisors always have accurate status visibility
- Coordinate alternative investment subscription paperwork and monitor outstanding items through completion
- Handle routine client administrative requests and onboarding paperwork from initiation to completion
- Support compliance-related documentation and ensure accuracy across all client files

- Client emails and open requests are never aging without an owner
- Outstanding paperwork and DocuSign items are tracked and closed without being chased
- The Value Max process stays on track — milestones are coordinated, action items are followed up on, and nothing stalls for lack of execution support
- Advisors spend their time with clients — not managing administrative follow-up
- Nothing falls through the cracks. Not because of heroics. Because of systems and habits.

QUALIFICATIONS
- 2+ years of experience in an administrative, operations, or client service role — financial services preferred but not required
- Proficiency with CRM systems and office productivity tools; Wealthbox experience is a plus
- Experience managing DocuSign workflows, account paperwork, or similar documentation processes
- Strong written communication skills and comfort with professional client-facing correspondence
- Associate or bachelor’s degree in business, finance, or a related field, or equivalent relevant experience
COMPENSATION & DETAILS
- Salary: $50,000 – $70,000 depending on experience
- Full-time, on-site in Greenville, SC
- Collaborative team environment with direct access to firm leadership
- Opportunity to grow with a firm on a defined path toward $1B in assets under management
