We are seeking a Senior Project Scheduler to own schedule integrity across a complex, multi-workstream enterprise transformation program. This is a full-time 1099 contract role supporting a program that spans several concurrent workstreams, each with its own milestones, dependencies, and pace — and that must be sequenced against hard external commitments, not internal planning cycles.
The program is in an active, evolving phase: scope is being confirmed workstream by workstream, and the schedule has to hold together across that uncertainty rather than wait for it to resolve. This is not a role where a stable master schedule already exists and simply needs updating. It is a role where the schedule is a living tool you build, defend, and continuously reforecast as scope firms up.
This role is best suited for someone who treats a schedule as a decision-support tool, not a static document — someone who can hold structure across multiple moving workstreams without needing every one of them fully defined.
Key Responsibilities
- Build, own, and maintain the master program schedule across multiple concurrent workstreams, integrating each into a single coherent timeline
- Identify and actively manage critical path, cross-workstream dependencies, and sequencing risk — surfacing conflicts before they compound
- Maintain rolling look-ahead views alongside the long-range program roadmap, keeping both current as scope is confirmed in phases
- Partner with workstream leads and senior consultants to translate evolving scope and milestones into structured, realistic timelines
- Proactively flag schedule drift, resource conflicts, and at-risk milestones, using clear RAG status conventions
- Build and maintain scheduling infrastructure: templates, tracking systems, dependency logs, and reporting formats
- Synthesize schedule status into clear, executive-ready reporting for senior advisors and consulting leadership
- Support phase-gate planning and scope confirmation cycles, adjusting the schedule as each phase's scope is finalized
- Collaborate across Teams, Slack, Google Workspace, SharePoint, and related tools to support a distributed, asynchronous team
- Use AI tools such as Claude, ChatGPT, Copilot, Gemini, or similar platforms to accelerate schedule synthesis, reporting, and documentation
Qualifications
- 3–5+ years of scheduling or project management experience in consulting, transformation, PMO, or multi-workstream program environments
- Prior experience working as a 1099 independent contractor or on commercial client engagements — with a practical understanding that hours are driven by client demand, not a fixed weekly guarantee, and that payment follows an invoice-based cycle
- Demonstrated experience building and maintaining a master schedule across multiple concurrent workstreams with interdependencies
- Strong proficiency in scheduling and tracking tools (e.g., Coda)
- Demonstrated ability to build a workable schedule from partially defined scope, and to reforecast cleanly as scope is confirmed
- Strong written communication skills — able to translate schedule complexity into clear, executive-ready status and risk narratives
- Proven ability to flag schedule and resource risk proactively — not just track dates, but anticipate what could slip and why
- Experience working collaboratively in Slack, Google Workspace, Teams, or similar digital collaboration environments
- Experience using AI tools such as Claude, ChatGPT, Copilot, Gemini, or similar platforms as a routine part of daily workflow
This Role Is NOT
- A pure administrative scheduler role that enters dates handed down by others without owning the logic behind them
- A deep technical or data analyst role
- A rigid PMO governance role with fixed processes and fully defined scope from day one
- A role for someone who needs complete, locked scope before they can build a schedule — this program confirms scope in phases, and the right person builds structure alongside that uncertainty
Preferred Characteristics
- Comfortable building and rebuilding a schedule as scope firms up in phases, rather than waiting for a final version
- Proactive and resourceful — surfaces schedule risk and dependency conflicts without being asked
- Methodical without being rigid — builds scheduling structure that serves the work, not the other way around
- Comfortable holding workstream leads accountable to dates without being adversarial
- Calm and decisive when priorities shift or timelines compress
- Strong business writing instincts — produces polished schedule narratives and status reporting without heavy editing
- Finds satisfaction in protecting critical path and closing sequencing gaps before they become visible problems
- AI-enabled by default: uses AI tools to accelerate schedule synthesis and reporting, not as an occasional add-on
Application Question(s):
- Some people perform best in structured environments with clearly defined scope and a stable schedule to maintain. Others are energized by building and rebuilding a schedule as scope evolves. Describe honestly which describes you — and give a specific example of a schedule you had to construct or substantially rebuild before scope was fully defined.
- This role requires significant use of AI tools as a routine part of daily work — not occasional use. Describe specifically how you currently use AI tools (such as Claude, ChatGPT, Copilot, Gemini, or similar) in your scheduling and reporting workflow. Include concrete examples.
- Describe a project where you had to manage a schedule across multiple workstreams or teams with interdependencies. How did you identify critical path, sequence competing priorities, and keep the schedule coherent as individual workstreams shifted?
- This role involves translating schedule complexity into clear reporting for senior consultants and leadership. Describe your experience producing executive-ready schedule status, risk narratives, or roadmap views — including the tools and process you use.
- Describe a time you were asked to build or maintain a schedule when scope was only partially defined. What steps did you take to create a workable structure, and how did you handle reforecasting as scope was confirmed?
- Detail orientation matters in scheduling, but so does keeping pace with a fast-moving program. How do you balance accuracy and thoroughness with speed and evolving priorities?
- This is a 1099 independent contractor role on a commercial client engagement. Hours are driven by client demand and are not guaranteed week to week — some weeks may be close to 40 hours, others may be lighter. Payment is invoice-based on a Net-45 cycle. Have you worked as a 1099 independent contractor before? If yes, briefly describe the engagement and how you managed variable hours and invoice-based payment. If no, describe how you would approach the financial planning this model requires.
- CTM Unlimited is a small, lean consulting team. Describe a specific time you took on work that was not technically your responsibility — because it needed to get done and you were in a position to do it. What was the situation, what did you do, and why did you decide to step in rather than wait for someone else to handle it?
