Responsibilities
Assist in managing the daily operations of a busy medical optometry office
Supervise, coach, and motivate front and back office staff
Ensure exceptional customer service and patient satisfaction
Assist with employee scheduling, onboarding, and training
Monitor office workflow and improve operational efficiency
Resolve patient concerns professionally and promptly
Maintain compliance with office policies and healthcare regulations
Support providers and management with administrative projects

Qualifications
1–2+ years of management or supervisory experience in a medical, dental, optometry, and healthcare setting preferred
Sales, retail management, hospitality, or customer service leadership experience is a strong plus
Excellent leadership and communication skills
Strong organizational and multitasking abilities
Positive attitude with a solution-oriented mindset
Comfortable in a fast-paced, high-expectation environment
Proficient with Microsoft Office and electronic medical record (EMR/EHR) systems preferred

Responsibilities
- Lead the administrative team in managing daily clinic operations, including scheduling, patient flow, and staff coordination.

- Supervise medical office staff, including hiring, training, performance evaluations, and human resources functions to cultivate a motivated team.
- Manage electronic health records (EHR) systems such as Epic, eClinicalWorks, Dentrix, Eaglesoft, and Managed Care platforms to ensure accuracy and compliance with healthcare regulations.
- Ensure adherence to HIPAA guidelines and other health regulation policies by implementing appropriate security measures for medical records and patient information.
- Coordinate with clinical staff to optimize clinic workflows, including acute care, hospital experience, or dental office operations when applicable.
- Monitor practice performance metrics related to utilization management, managed care contracts, and quality assurance standards like JCAHO accreditation requirements.
Skills
- Proven experience in medical office management with strong knowledge of healthcare management practices.
- Expertise in managing EMR/EHR systems such as Epic, eClinicalWorks, Dentrix, Eaglesoft or similar platforms.
- Demonstrated fiscal management skills including budgeting, financial analysis, and resource allocation.
- Supervisory experience leading teams within a healthcare setting; excellent human resources skills for staff development and conflict resolution.
- In-depth understanding of medical terminology, medical records handling, and electronic health record management protocols.
- Knowledge of health regulation policies including HIPAA compliance and JCAHO standards.
- Ability to coordinate multiple priorities efficiently in a fast-paced clinic environment with acute or hospital care experience preferred.
