JOB SUMMARY
The Administrative Assistant is responsible for the administrative responsibilities of Career Development Office. This includes maintaining the office files for both the tribal and BIA contract ensuring that all documentation is properly filed and maintained in a timely manner. Also compiles and completes student request such as Deans/Principals honor roll, honorariums and that they have the appropriate documentation for preparation by the Financial Coordinator. Responsible for some light in house cuff accounting. Maintains and assists with student academic files for compliance and current filings. The Administrative Assistant must have knowledge of the Family Educational Rights and Privacy Act (FERPA). Strong communication skills and ability to work under various levels of demand during deadline dates. Must have some knowledge of the surrounding area of the institutes and knowledge of their local resources to assist the student in event they need assistance. Assist in the professional appearance and maintenance of the upkeep and cleanliness of the office.
Other duties may be assigned at the discretion of the CDO Specialist or designee to fulfill the Department’s needs, objectives and/or goals.
DUTIES AND RESPONSIBILITES:
The Administrative Assistant is responsible for the following:
- Ensures all the applications, Boarding School, Higher Education, Adult Vocational Training applications, etc. are complete with all supporting documents
- Responsible for time, date and initialing of all incoming/outgoing correspondence is done accordingly and in a timely manner
- Compiles monthly, quarterly and yearly reports into format for presentation and/or submission
- Ensures all student files and office files are current with daily filing
- Ensure that all student’s academic files are set up and in compliance with the funding agency requirements
- Handles all student information received in the CDO Office
- Prepares travel request for both staff and students
- Transports for CDO when needed
- Assist in the professional appearance and maintenance of the upkeep and cleanliness of the office
- Adheres to FERPA confidentiality guidelines and furnishes all information based on these guidelines
- Other duties as assigned
Knowledge Skills and Abilities
- Knowledge of setting up a Shared file system for all the office files
- Compiles data, completes reports and assists in tracking student requirements, i.e., grades, Official transcripts, etc.
- Basic knowledge of cuff accounts and may at times be responsible to ensure that this task is completed in a timely manner
- Works with the Financial Coordinator to ensure requests for incentive awards, recognition awards, computer awards etc. are processed in a timely manner
- Follow established Tribal policies and those outlined in the Colorado River Indian Tribes Employee Handbook
- General responsibilities which include routine office procedures, such as answering all incoming calls and properly directs to the proper staff or may handle these calls themselves
- Receives all incoming calls and ensures calls are documented properly in the individual student files for tracking purposes
- Properly documents and distributes ALL correspondence to the proper staff in order to maintain current student information
- Maintains all phone, fax, mail and contact logs for the office
- Ensures all incoming correspondence is logged in daily and distributed to the proper staff member
MINIMUM QUALIFICATIONS:
- High school diploma or G.E.D. equivalent
- Valid driver’s license
