Position Overview
We are looking for a motivated, detail-oriented Accounts Receivable/Payroll Specialist to join our accounting team. This role supports day-to-day AR and payroll operations, ensuring accuracy, timeliness, and confidentiality across all financial processes. The ideal candidate is a self-starter who thrives in a fast-paced environment and takes ownership of their work with minimal oversight.
Key Responsibilities
Process and manage accounts receivable, including invoicing, payment application, and account reconciliation.
Monitor aging reports and follow up on outstanding client balances in a professional, timely manner.
Process bi-weekly/semi-monthly payroll, including timesheet review, deductions, garnishments, and multi-state tax compliance where applicable.
Maintain accurate payroll records and ensure compliance with federal, state, and local wage and hour regulations.
Support month-end and year-end close processes, including AR and payroll-related reconciliations and reporting.
Assist with W-2, 1099, and other payroll tax filings and reporting requirements.
Maintain strict confidentiality of employee and client financial information at all times.
Utilize Deltek Vantagepoint (or similar ERP/project accounting system) for billing, project cost tracking, and payroll functions.
Collaborate with project managers and leadership to resolve billing discrepancies and support accurate project accounting.
Assist with internal audits and support the finance team with ad hoc reporting and process improvement initiatives.
Maintain organized, audit-ready documentation in accordance with company recordkeeping policies.
Qualifications
Associate’s degree in Accounting, Business Management, or related field; or, in lieu of a degree, a minimum of 5 years of directly relevant AR/payroll experience.
Experience with Deltek Vantagepoint or a similar project-based accounting/ERP system strongly preferred.
Proficiency in Microsoft Office Suite (Excel, Outlook, Word), with strong Excel skills for reconciliations and reporting.
Working knowledge of current payroll compliance requirements, including federal and Louisiana state wage/tax regulations.
Strong attention to detail and accuracy, particularly when handling sensitive financial and personnel data.
Excellent organizational and time management skills, with the ability to manage multiple deadlines simultaneously.
Self-starter who works well independently and demonstrates sound judgment.
High level of professionalism and discretion; ability to maintain strict confidentiality.
Strong written and verbal communication skills.
Prior experience in a professional services, engineering, or construction-related environment is a plus.
