We are seeking an organized, fast-thinking, and reliable Service Coordinator to join our operations team. You will oversee daily route operations, maintain real-time communication with drivers, manage schedules, and respond swiftly to unforeseen delays or emergencies.
Dispatch & Scheduling
- Schedule and dispatch service technicians daily; adjust in real time as emergencies and priorities shift
- Track technician hours and job time through QuickBooks Time (T-Sheets)
- Maintain the service calendar and coordinate multi-day or multi-tech jobs
- Confirm appointments with customers and communicate ETAs and delays proactively
Client Work Order Platforms
- Manage incoming work orders through CorrigoPro and ServiceChannel
- Ensure technicians check in and check out correctly on every work order
- Monitor SLA windows and response-time requirements; escalate before a deadline is missed
- Request and track NTE (not-to-exceed) increases and change approvals
- Reconcile platform work orders against our invoicing so nothing goes unbilled
Required
- Two or more years in an office administration, scheduling, dispatch, or customer service role
- Strong working knowledge of Microsoft Office Suite — Word, Excel, and Outlook in particular Excellent phone presence and clear written communication
- Proven ability to juggle competing priorities without dropping details Comfortable learning new software; we use QuickBooks Time (T-Sheets) for time tracking and CorrigoPro and ServiceChannel for client work orders
- High school diploma or equivalent
- Valid Texas driver license and clean driving record
- Ability to pass a background check and pre-employment drug screen
Preferred
- Hands-on experience with CorrigoPro, ServiceChannel or similar facility management work order platforms
- Experience in construction, trades, or field service dispatch
- Familiarity with permitting processes or municipal inspection scheduling
- Experience with quoting, invoicing, or accounts receivable
Qualifications & Skills
- Experience: 2+ years of dispatching, fleet routing, or logistics experience (transit, emergency services/911, trucking, or taxi operations preferred).
- Technical Skills: Proficiency with MS Office/Excel, and multi-line phone systems.
- Problem-Solving: Ability to evaluate unexpected situations (traffic jams, breakdowns, bad weather) and make firm, safe decisions in seconds.
- Communication: Clear, concise radio etiquette and strong verbal/written skills. Ability to maintain composure under high pressure.
Availability:
Ability to work flexible schedules, including early mornings, weekends, and holidays as needed for transit operations.
