Job Summary:
The Administrator is responsible for the overall leadership, The Administrative Assistant / Coordinator – ADvantage & SPPC provides administrative, scheduling, billing, and operational support for Golden Age Home Health’s ADvantage and State Plan Personal Care (SPPC) services.
This position is responsible for maintaining accurate program and client records, supporting timely billing and documentation, assisting with caregiver staffing and scheduling, communicating with clients and employees, and helping ensure services are coordinated in accordance with agency policies, program requirements, and applicable payer and regulatory standards.
Required program experience: Candidates must have prior hands-on experience working with both ADvantage and SPPC programs. Experience should include the administrative and operational processes associated with scheduling, service documentation, billing, authorizations, and/or program compliance.
Essential Job Functions:
ADvantage & SPPC Program Support
- Provide day-to-day administrative support for ADvantage and SPPC services.
- Maintain working knowledge of program-specific requirements, terminology, workflows, and documentation.
- Accurately enter, update, retrieve, and maintain client, employee, service, scheduling, and billing information.
- Monitor assigned program information for completeness and follow up on missing or inaccurate documentation.
- Maintain organized electronic and paper records.
Billing & Documentation
- Assist with ADvantage and SPPC billing processes.
- Review service documentation and identify missing or inconsistent information prior to billing.
- Prepare, process, track, and/or submit billing-related documentation as assigned.
- Compare authorized, scheduled, and documented services and identify discrepancies.
- Assist with timely resolution of billing, documentation, authorization, and service-related issues.
Scheduling & Staffing Coordination
- Assist with scheduling clients and caregivers to support continuity of care and appropriate coverage.
- Coordinate schedule changes, call-offs, open shifts, replacements, and other staffing needs.
- Serve as backup support for the Staffing Coordinator when assigned.
- Communicate schedule changes accurately and promptly to clients, caregivers, supervisors, and other appropriate personnel.
- Maintain accurate schedules and document cancellations, missed visits, and other scheduling changes.
Client, Employee & Office Communication
- Answer incoming calls professionally and courteously.
- Direct calls and inquiries to the appropriate individual or department.
- Respond to routine inquiries from clients, employees, applicants, referral sources, and other authorized contacts.
- Communicate professionally with clients and caregivers regarding scheduling and administrative matters.
- Assist with preparing and maintaining employment, client, orientation, and program-related documents.
Records, Compliance & Confidentiality
- Maintain strict confidentiality of client, employee, medical, payroll, billing, and agency information.
- Handle protected health information in accordance with HIPAA and Golden Age Home Health policies.
- Follow ADvantage, SPPC, payer, agency, and applicable regulatory requirements.
- Report compliance concerns, documentation issues, client concerns, and staffing concerns promptly.
- Assist with audits, record reviews, quality assurance activities, and compliance requests.
General Administrative Support
- Prepare correspondence, forms, reports, spreadsheets, and other administrative materials.
- Maintain files, logs, calendars, and tracking tools.
- Assist with office workflow and special projects.
- Perform other duties consistent with the position and assigned by management.
Qualifications:
- High school diploma or equivalent.
- Previous hands-on experience with BOTH ADvantage and SPPC programs is required.
- Previous experience in home health, personal care, Medicaid waiver services, or a related healthcare environment preferred.
- Working knowledge of ADvantage and SPPC scheduling, billing, documentation, service coordination, and program processes.
- Strong computer skills and ability to learn and accurately use agency and program-specific systems.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and handle protected information appropriately.
- Ability to manage multiple priorities, deadlines, interruptions, and time-sensitive requests.
- Ability to work independently and effectively with clinical, staffing, administrative, and leadership personnel.

Preferred Qualifications
- Healthcare or home care billing experience.
- Experience with Medicaid-related documentation, authorizations, audits, or electronic service/visit documentation.
- Caregiver staffing and scheduling experience.
- Familiarity with HIPAA and home health/personal care compliance requirements.
Physical/Environmental Demands:
This is primarily an office-based administrative position. The employee must be able to perform the essential functions of the position with or without reasonable accommodation.
The position requires frequent sitting, computer and telephone use, speaking and hearing, visual attention to documents and computer screens, and routine movement throughout the office. Occasional bending, reaching, standing, walking, and lifting/carrying of office materials weighing up to approximately 20 pounds may be required.
