Real Estate Assistant | Transaction & Operations Coordinator
Location: Homestead, FL (In Office)
Position: Full-Time (40 Hrs)

The Farias Group is a growing real estate team serving Miami-Dade County with a strong focus on delivering exceptional customer service and creating a seamless experience for our buyers and sellers. We are looking for a highly organized, detail-oriented Real Estate Assistant who thrives in a fast-paced environment and takes pride in keeping transactions and daily operations running smoothly.
This is not an entry-level administrative position. We are looking for someone who enjoys taking ownership, solving problems, staying ahead of deadlines, and ensuring nothing falls through the cracks.
Position Overview
Your number one responsibility will be monitoring and managing our active real estate transactions from contract to closing. You will be responsible for keeping files organized, tracking deadlines, communicating with all parties involved, and making sure every transaction moves forward smoothly.
Beyond transaction management, you will support the day-to-day operations of the team, marketing efforts, client communication, and office administration.
ResponsibilitiesTransaction Management (Highest Priority)
- Monitor all active transactions from contract to closing
- Track critical contract deadlines and contingency periods
- Communicate with title companies, lenders, inspectors, buyers, sellers, and cooperating agents
- Follow up proactively to ensure files continue progressing
- Maintain organized transaction files
- Prepare contracts, addendums, disclosures, and other transaction documents
- Ensure compliance with brokerage and MLS requirements
Listing Management
- Upload listings to the MLS
- Coordinate professional photography and marketing materials
- Prepare listing documents
- Confirm showing appointments
- Keep listing information accurate and up to date
- Coordinate marketing before and after listings go live
Marketing & Social Media
- Manage the team's social media accounts
- Schedule and publish listing posts
- Assist with marketing campaigns
- Order marketing materials, signs, postcards, and promotional items
- Help implement strategies to generate more leads
Client & Office Support
- Call sellers weekly with updates
- Schedule buyer consultations and appointments
- Confirm appointments for listings and showings
- Greet clients visiting the office
- Answer phones, emails, and general inquiries professionally
- Maintain an organized and welcoming office environment
Administrative Support
- Prepare offers for seller review
- Draft contracts and addendums
- Organize digital files
- Maintain CRM records
- Assist with various daily administrative tasks that support the team's growth
Qualifications
- Previous real estate administrative, transaction coordinator, or assistant experience preferred
- Florida real estate knowledge is strongly preferred
- Excellent organizational skills with exceptional attention to detail
- Ability to prioritize multiple deadlines simultaneously
- Strong written and verbal communication skills
- Professional appearance and attitude
- Proficient with Microsoft Office and Google Workspace
- Comfortable learning new real estate software and technology
- Self-motivated and able to work independently
- Reliable, punctual, and dependable

Compensation
Compensation will be based on experience and qualifications. $12.5- $15 an hour.
