Job Overview
We are seeking a dedicated and detail-oriented Office Assistant/Human Resources Coordinator to join our team. This role is essential in supporting various HR functions, including recruitment, data management, and strategic planning, and Benefits Coordination. The ideal candidate will possess strong organizational skills and a passion for fostering a positive workplace culture. You will work closely with HR leadership to implement effective workforce management strategies and ensure compliance with affirmative action planning.
Responsibilities
Attend and organize Job fairs to recruit new staff
Onboard new employees, including collecting all required documents and certificates in a timely manner
Create/manage employee profiles in Sharepoint and Paylocity
Provide superior & timely service to employee questions and requests and escalating as appropriate
Work closely with team coordinators to verify timesheets and make corrections to submit hours to payroll
Establishing a professional working relationship with applicants, visitors, and business professionals
Establish and revise work methods and standards to improve operating efficiency
Serve as an effective resource for company policy, utilizing good judgment, discretion
Confidentiality and professionalism to respond to payroll, PTO and other employee issues
Escalate employee issues and grievances to the director of the appropriate department as necessary
Maintain office staff job results by coaching, counseling, and disciplining employees
Planning, monitoring, and appraising job results
Keep constant communication with administrator and program director on issues or concerns that may arise
Assist the Payroll Department with miscellaneous tasks as assigned
Assist with ordering of supplies and ensure appropriate levels are maintained in stock
Other duties and responsibilities specified by administrator or program manager
KNOWLEDGE, SKILLS AND ABILITIES NEEDED
Knowledge of audit standards and ensure they are being upheld
Experience with Microsoft 365 Suite & Paylocity
Excellent verbal, written and interpersonal communication skills, with the ability to work well under minimal supervision.
Detail oriented with consistent follow-up practices and customer focus
Capable of multi-tasking, highly organized, and able to meet deadlines
Exercise independent judgment within established systems and procedures
Maintain confidentiality in all matters related to the workplace
Analytical ability, competence in report writing
MUST BE: Eighteen years or older
Qualifications
Proven experience in human resources or related field is preferred.
Strong skills in data collection and analysis to inform HR decisions.
Excellent interviewing skills with the ability to assess candidate fit effectively.
Knowledge of strategic planning principles as they relate to human resources.
Strong organizational skills with attention to detail and the ability to manage multiple tasks simultaneously.
