Job Description
The Service Advisor is responsible for building strong relationships with clients by providing exceptional customer service and clear communication throughout the vehicle repair process. This role serves as the primary point of contact between clients and technicians, ensuring repairs and maintenance are accurately documented, properly authorized, and completed efficiently while maintaining high levels of client satisfaction and vehicle safety.
Key Responsibilities:
Client Communication & Customer Service
- Greet clients promptly and professionally
- Listen carefully to client concerns and accurately document vehicle symptoms and requested services
- Explain recommended repairs, maintenance services, and associated costs in a clear and understandable manner
- Maintain consistent communication with clients regarding vehicle status, repair updates, and changes in estimated completion times
- Handle client questions and concerns professionally and resolve issues promptly
- Educate clients on vehicle maintenance needs and manufacturer recommendations
Vehicle Intake & Repair Order Management
- Prepare accurate repair orders including labor, parts, and service estimates
- Verify vehicle information and service history
- Conduct visual inspections and test drives when necessary to confirm concerns
- Obtain proper authorization for all repairs and additional services
- Establish realistic completion timelines and communicate expectations clearly
- Review completed repair orders for accuracy before vehicle delivery
Service Operations Support
- Coordinate workflow with technicians and dispatch staff
- Monitor repair progress throughout the day
- Schedule service appointments efficiently
- Maintain organized records and documentation
- Ensure all vehicles and keys are properly managed and secured
- Support quality control efforts to reduce repeat repairs and improve client satisfaction
Sales & Service Recommendations
- Recommend maintenance and repair services based on vehicle condition and manufacturer guidelines
- Identify additional repair or safety concerns during inspections
- Provide accurate estimates for parts and labor
- Promote preventative maintenance programs and service offerings
Qualifications
- Previous automotive service advising or customer service experience preferred
- Strong communication and interpersonal skills
- Ability to multitask in a fast-paced environment
- Basic automotive knowledge and understanding of vehicle systems
- Strong organizational and problem-solving abilities
- Proficiency with computer systems and service management software
- Valid driver’s license required
- ASE certifications or manufacturer training preferred
