Position Summary
The Vanity Haus is seeking an enthusiastic, professional, and highly organized Receptionist & Client Experience Coordinator to become the welcoming face of our salon. This role is much more than answering phones or scheduling appointments. As the first and last impression of our business, you will play an essential role in delivering an exceptional client experience while helping our salon operate efficiently each day.
Working closely alongside the owner, you will receive hands on training in The Vanity Haus culture, client experience standards, and our Standard Operating Procedures (SOPs). ResponsibilitiesGuest Experience
As the first and last impression of The Vanity Haus, you will be responsible for creating an exceptional luxury experience for every guest.
- Welcome every client with warmth, professionalism, and enthusiasm.
- Learn clients' names and upcoming services before they arrive.
- Check clients in and notify their stylist immediately.
- Escort guests to their stylist's station or waiting area.
- Offer every guest complimentary coffee, tea, water, or a complimentary snack.
- Ensure every client feels comfortable and cared for throughout their visit.
- Answer questions regarding salon services, pricing, policies, and products.
- Assist with client checkout and payment processing.
- Encourage every client to reserve their next appointment before leaving.
- Invite satisfied guests to leave a Google review.
Front Desk & Administrative Operations
- Open and prepare the salon before the first appointment.
- Answer incoming phone calls with professionalism and confidence.
- Schedule, modify, and manage appointments.
- Respond promptly to phone calls, emails, text messages, and social media inquiries.
- Maintain accurate client profiles, appointment notes, and color records.
- Prepare color formula sheets for stylists before appointments.
- Process retail purchases and maintain inventory records.
- Count and balance the cash drawer at opening and closing.
- Assist with weekly inventory counts and restocking.
- Complete all opening and closing procedures according to salon SOPs.
Social Media & Brand Representation
- Capture professional before and after photos and videos with client consent.
- Assist with Instagram, Facebook, TikTok, and other social media platforms.
- Help create engaging content that reflects The Vanity Haus brand and culture.
- Maintain a polished, professional representation of the salon both in person and online.
Salon Operations
- Maintain a clean, organized, and welcoming reception area throughout the day.
- Restock beverages, snacks, retail displays, and salon supplies.
- Assist stylists with client preparation for color and chemical services.
- Support the team wherever needed to ensure a seamless client experience.
- Identify opportunities to improve daily salon operations and client satisfaction.
Growth & Training
This position works directly alongside the owner of The Vanity Haus and offers the opportunity to learn every aspect of salon operations. You will receive hands on training in our culture, client service philosophy, and Standard Operating Procedures (SOPs).

QualificationsRequired
- Fluent in both English and Spanish.
- Excellent verbal and written communication skills.
- Friendly, welcoming, and professional demeanor.
- Strong organizational skills with excellent attention to detail.
- Ability to multitask and remain calm in a fast paced environment.
- Comfortable using computers, email, and learning new software.
- Reliable transportation and punctual attendance.
- Ability to work collaboratively as part of a small team.
- Positive attitude with a willingness to learn.
- Ability to maintain confidentiality and professionalism.
- Ability to maintain a polished, professional appearance while representing The Vanity Haus brand.
Preferred
- 1+ year of experience in customer service, hospitality, retail, or another client facing role.
- Previous salon, spa, or beauty industry experience.
- Experience using appointment scheduling or POS software.
- Experience creating content for Instagram, Facebook, TikTok, or other social media platforms.
- Retail sales or product recommendation experience.
- Strong organizational and time management skills.
- A proactive mindset with the ability to anticipate the needs of clients and the salon team.
- A genuine passion for the beauty industry and delivering exceptional customer service.
- Open to coaching, eager to learn, and excited to grow with a small business.
Schedule :Full Time
Monday: 9:45 AM to 6:00 PM
Tuesday: 9:45 AM to 6:00 PM
Thursday: 9:45 AM to 6:00 PM
Friday: 9:45 AM to 6:00 PM
Saturday: 8:45 AM to 4:00 PM
Closed Wednesdays and Sundays.
