WHAT WE'RE LOOKING FOR
The Executive Personal Assistant is responsible for managing logistics and communications for all administrative functions of the Principal. This is a rewarding and challenging executive support position that reports directly to the Managing Director. This role demands a high level of common sense, systems knowledge, flexibility, team-building abilities, emotional intelligence, and communication skills.
The Executive Assistant must be able to help manage the Principal's communications, scheduling, logistics, and travel. He or she will be part of a three-person administrative team that works collaboratively and complementarily to proactively and responsively serve the Principal. Success along these dimensions requires a strong sense of ownership that keeps the rate of thread drops and systems failures near zero.
To effectively orchestrate the Principal's business and non-business administrative functions, the Executive Assistant will need to build significant rapport with stakeholders across multiple organizational and external verticals. This individual must also play a strong role in prioritization in partnership with these. This individual should be able to remain flexible and work collaboratively with various departments within the organization.
WHAT YOU'LL DO
Communications & Calendaring:
Support the accurate and timely management of multiple dynamic calendars, including personal appointments, meetings, events, and complex travel itineraries.
Consistently monitor multiple shared administrative inboxes and various communication channels to ensure that all scheduling is coordinated, logistics are confirmed, and appropriate parties are informed.
Assist in managing meeting requests with external high-profile executives, partners, and teams; deliver timely reminders concerning meetings, deadlines, and other commitments.
Reconfirm meetings with external parties and ensure meeting materials, dial-in details, attachments, and links are all functioning the day of the meeting.
Coordinate with internal teams (i.e. Security, Hospitality, Estates, etc.) to ensure travel arrangements are confirmed, and information is received by all parties in advance to facilitate a seamless transfer for the Principal.
Triage incoming requests, e.g., research and procurement queries, directly from the Principal.
Research:
Maintain and prepare meeting materials, bios, one-sheeters, and decks in tandem with the administrative team and as requested by the Principal.
Family & Personal Management:
Assist EPA team with health & wellness tracking and management: appointments, initiatives, cutting-edge treatments, and vendor management.
Assist with the wardrobe and grooming program, coordinating with clothing, hair, and makeup stylists and planning for public appearances and events.
Coordinating with the secondary Principal's personal team as it relates to family events, holidays, and travel.
Additional:
WHAT YOU'LL HAVE
BA/BS degree preferred
Minimum 5+ years of experience supporting a CEO, Chairman, or Founding Member in a fast-paced environment. Background with UHNWIs, politics, high clearance security teams, or celebrity support required.
Experience working in a family office or high-growth start-up is preferred.
Desire to work on a close team defined by low ego, collaboration, high standards, and a sense of humor.
Flexible and responsive during extended or unscheduled hours.
Willing to provide weekend & holiday coverage on a rotational basis year-round. Dates are decided in advance and coordinated with the rest of the EPA team.
Ability to think and operate independently with minimal direction. Able to anticipate the Principal's needs and proactively suggest solutions.
High emotional intelligence and trustworthiness with a growth mindset and desire to continuously learn and improve. Positive attitude with a 'no task too big or too small' mentality.
Ability to handle sensitive matters with the utmost discretion and confidentiality.
Highly organized with strong time management skills and the ability to handle multiple concurrent assignments and competing priorities with a high degree of accuracy to meet deadlines promptly.
Top-rate professionalism with a customer service mindset and the utmost respect when interacting with both internal and external parties.
Proficient in programs including but not limited to G Suite and Slack. Familiarity with Pitch, WhatsApp, Telegram, Signal, and 1Password is preferred.
Willingness to learn new tools and software as needed.
