Job Summary
We are seeking a dynamic and organized Front Desk Receptionist to be the welcoming face of our organization. Duties
- Greet visitors warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
- Handle incoming correspondence, emails, and inquiries with clarity and responsiveness
- Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools
- Perform data entry tasks with precision, updating records in QuickBooks and other office management software
- Schedule appointments, manage calendars, and coordinate meetings efficiently for staff and clients
- Support clerical tasks such as proofreading documents, managing office supplies, and maintaining cleanliness of the reception area
- Assist with bookkeeping duties, including basic invoicing and record-keeping using accounting software
- Provide exceptional customer service by addressing questions or concerns promptly and courteously
- Support administrative functions like proofing materials, managing time-sensitive documents, and supporting personal assistant tasks if needed
Experience
- Previous office experience or front desk reception experience is highly preferred
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with productivity software such as calendar management tools and data entry platforms like QuickBooks
- Excellent organizational skills with the ability to multitask effectively in a busy environment
- Demonstrated customer service skills with a friendly yet professional demeanor
- Bilingual abilities are a plus to assist diverse client needs
- Experience working with multi-line phone systems or medical/dental receptionist roles is advantageous
- Proven ability to manage time efficiently while maintaining accuracy in clerical tasks
