Role Description The Office Administrative role at Reilly Architectural is a full-time, on-site position based in Calverton, NY. This role serves as the first point of contact for visitors, callers, clients, and team members of Reilly Architectural. As a visible representative of our brand, this role helps create a professional, welcoming, and service-oriented experience. This individual is expected to model and promote our company culture and act with strong emotional intelligence.
Reporting This role reports to the Director of Human Resources & Organizational Development
Work Schedule & Pay Range Full Time Job (40 hours) with occasional overtime; Monday – Friday 7:30 AM – 4:00 PM* / $22.00 to $27.00 per hour + Benefits Offerings (health/eye/dental/disability/401K) (NOTE: Final compensation may vary based on experience, qualifications and skills.)
Key Responsibilities
- Greet visitors, clients, callers, vendors, and employees in a friendly and professional manner
- Answer, screen, and route incoming phone calls, emails, and general inquiries to the appropriate person or department
- Maintain a clean, organized, and welcoming reception area
- Receive, sort, and distribute office mail
- Provide basic information about the organization, services, office procedures, and visitor requirements.
- Organize, monitor and order promotional business materials to support daily operations
- Organize and help support visitor tours, meals and activities
- Support office security procedures by monitoring visitor access and following check-in protocols.
- Support Human Resources communication and coordination needs as requested, maintaining confidentiality and alignment with company policies
- Assist staff and management with administrative projects, reports, and coordination tasks, as assigned
- Demonstrate emotional intelligence and promote our culture pillars of care, learning, and results through daily interactions / problem solving / follow-through in a solution-focused manner while managing competing priorities and interruptions
Qualifications
- High school diploma or equivalent required; additional administrative or office training preferred
- Previous experience in reception, customer service, office administration, and/or a related role preferred
- Strong verbal and written communication skills
- Professional appearance, positive attitude, and customer-focused approach
- Represent Reilly Architectural’s brand with professionalism, warmth, discretion, and consistency in all interactions
- Ability to seek/take direction, prioritize responsibilities, focus efforts, and remain organized in the flow of work
- Proficiency with Microsoft Office applications, email, calendars, and standard office equipment.
- Attention to detail and ability to ensure accuracy of work output
- Ability to handle confidential information with discretion
Preferred Skills
- Experience with Microsoft (Outlook, Word, Excel, etc.)
- Bilingual communication skills - highly beneficial
- Ability to work independently while supporting a team-oriented environment
Work Schedule & Environment
This position typically works in a professional office setting during standard business hours. The role may require sitting or standing for extended periods, using technology, greeting visitors, and occasionally lifting and moving supplies or packages between 5-20 lbs.
