The ideal candidate for this role MUST HAVE previous intake manager experience at a therapy practice, and/or MUST have experience with or education in psyshoclogy/mental health. Those currently in school for psychology or another mental health related fields, associate therapists looking for additional income or those with experience in the mental health field and are compassionate and well versed on supporting clients with their mental health journey are encouraged to apply.
Responsibilities
- Lead the client intake process by greeting new patients, collecting essential information, and verifying insurance details efficiently.
- Coordinate appointment scheduling with therapists and clinicians using EMR (Electronic Medical Record) and EHR (Electronic Health Record) system Simple Practice.
- Manage medical administrative support tasks including maintaining accurate medical records, processing patient forms, and ensuring HIPAA compliance for confidentiality.
- Supervise administrative staff to ensure smooth daily operations, including managing office workflows, delegating tasks, and providing training on medical office management protocols.
- Collaborate with other team members/therapists to upkeep accurate information regarding schedules, caseload and specializations in care.
Requirements
- Proven experience in medical office management or healthcare administration within a clinical setting.
- Strong organization and administration skills.
- Familiarity with EMR/EHR systems or experience in learning new operations platforms quickly.
- Knowledge of medical terminology, billing procedures, and insurance processes including managed care and utilization management.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
