About the Position
We are seeking a compassionate, dependable, and welcoming Our Home Administrative Assistant / Receptionist to be the friendly first point of contact for our residents, families, visitors, vendors, and team members.
This position plays an important role in creating a warm, supportive environment within our community. The primary focus of the role is to manage the front desk and provide exceptional customer service and support to residents and visitors, while also assisting the Resource Team and leadership with administrative tasks and community projects.

Key Responsibilities
- Serve as the primary receptionist and welcoming presence at the community's front desk.
- Greet residents, families, visitors, vendors, and guests in a warm, professional, and compassionate manner.
- Answer and direct incoming phone calls and respond to general questions.
- Monitor and manage the front entrance and visitor activity according to community procedures.
- Assist residents and families with questions, requests, and general needs or connect them with the appropriate team member.
- Maintain a professional, organized, and welcoming reception area.
- Receive and distribute mail, packages, deliveries, and other items.
- Assist with scheduling, sign-in procedures, and other front-desk administrative duties as needed.
Resident & Family Support
- Develop positive and respectful relationships with residents and their families.
- Provide a helpful and compassionate presence for residents who visit or need assistance at the front desk.
- Listen to resident and family concerns and communicate needs appropriately to the Resource Team or leadership.
- Help create a community environment where residents and families feel welcomed, valued, and supported.
- Maintain confidentiality and treat all resident information with discretion and respect.
Resource Team Support
- Provide administrative and clerical support to the Resource Team.
- Assist with organizing documents, communications, schedules, records, and other administrative needs.
- Help coordinate meetings, activities, projects, and community initiatives.
- Assist team members with special projects and tasks designed to improve the resident experience and overall community operations.
- Provide additional administrative support to leadership as needed.
Vendors & Community Support
- Welcome and assist vendors, contractors, service providers, and other business partners.
- Help coordinate vendor arrivals and communicate with appropriate team members.
- Assist with deliveries and ensure items are directed to the appropriate location or department.
- Support community events, meetings, and special projects as needed.
Qualifications
- Previous receptionist, administrative, customer service, healthcare, senior living, or related experience preferred.
- Excellent verbal and written communication skills.
- Strong interpersonal skills and the ability to interact positively with residents, families, visitors, and team members.
- Compassionate, patient, and respectful approach to working with older adults.
- Strong organizational skills and attention to detail.
- Ability to prioritize multiple tasks while maintaining a welcoming and professional front desk.
- Comfortable using computers, email, Microsoft Office, and other basic office technology.
- Ability to maintain confidentiality and exercise good judgment.
- Reliable, punctual, and able to work independently while also being a strong team player.
- A positive attitude and willingness to assist wherever needed.
