Responsibilities
- Greet visitors warmly, assist with check-in procedures, and direct them appropriately within the office environment
- Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using professional phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness
- Maintain organized filing systems, perform data entry tasks, and ensure all records are up-to-date and easily accessible
- Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings
- Assist with clerical duties including proofreading documents, preparing reports, and managing office supplies inventory
- Utilize computer skills across Microsoft Office Suite, Google Workspace, QuickBooks (if applicable), and other relevant software to streamline daily operations
Experience
- Prior experience in an office environment or as a receptionist is highly preferred
- Demonstrated proficiency with computer literacy including typing speed, data entry, filing systems, and office software such as Microsoft Office and Google Workspace
- Strong customer service background with excellent communication skills in both bilingual settings (if applicable)
- Knowledge of front desk operations, multi-line phone systems, and basic bookkeeping or QuickBooks experience is advantageous
- Proven organizational skills with the ability to multitask effectively in a fast-paced setting
- Experience in medical or dental reception is a plus for specialized roles but not mandatory
- Personal assistant or administrative support experience that highlights calendar management and time management capabilities
