We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this role, you will manage front desk operations, coordinate communication, and support administrative functions to ensure smooth daily activities. Your positive attitude and organizational skills will help create a warm, professional atmosphere for clients, visitors, and staff alike. Responsibilities
- Greet visitors warmly and direct them appropriately, ensuring a positive first impression.
- Answer multi-line phone systems promptly and professionally, directing calls or taking messages as needed.
- Manage appointment scheduling and calendar management for staff and service providers.
- Handle data entry, filing, and document proofreading with accuracy and attention to detail.
- Maintain office supplies inventory and ensure the reception area is organized and welcoming.
- Support office management tasks such as record keeping, basic bookkeeping using QuickBooks, and supporting clerical duties.
- Provide excellent customer service by addressing inquiries via phone or in person with professionalism and empathy. Requirements
- Proven experience in office management, clerical work, or as a receptionist within a professional setting.
- Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Bilingual abilities are highly preferred to serve diverse community needs.
- Experience with multi-line phone systems, data entry, filing, proofreading, and customer support is essential.
- Knowledge of office equipment such as fax machines, scanners, and printers is desirable.
- Demonstrated customer service skills with excellent phone etiquette and interpersonal communication.
- Previous experience in medical or dental receptionist roles is a plus; familiarity with calendar management and personal assistant duties is beneficial.
- Ability to handle sensitive information with confidentiality and professionalism.
