We are looking for a highly organized, proactive, and detail-oriented Executive Personal Assistant to work directly with our Broker/Owner. This is an excellent opportunity for someone who enjoys a fast-paced environment, loves organization, and wants to build a long-term career in property management and real estate.
Every day is different. You'll help manage personal matters, executive priorities while supporting leasing, property management, real estate transactions, marketing initiatives, and special projects.
POSITION SUMMARY
As the Executive Personal Assistant, you will serve as the primary support for the Broker/Owner by helping manage daily operations, communications, scheduling, and administrative responsibilities.
You will assist with business activities across property management, real estate transactions, marketing, client communications, and occasional personal errands or appointments. The ideal candidate is someone who anticipates needs, solves problems independently, and enjoys helping an organization operate efficiently.
RESPONSABILITIES
Executive Support
- Manage the Broker's calendar, appointments, meetings, and travel arrangements
- Monitor and process daily incoming email
- Organize daily priorities and assist with time management
- Monitor and organize email correspondence, responding or drafting replies when appropriate
- Prepare reports, presentations, and meeting materials
- Assist with confidential projects and executive correspondence
Property Management Support
- Assist with team supervision, organization and tracking of KPIs
- Help prepare owner and tenant communications
- Monitor task completion and project deadlines
- Organize property documentation and digital files
Real Estate Transaction Support
- Assist in processing listings, leases, and sales transactions
- Coordinate inspections, appraisals, and closing deadlines
- Maintain transaction files for compliance
- Follow up with title companies, lenders, agents, and clients
- Skillfully calculate, prepare commission disbursement authorizations for pending sales
- Ensure required documentation is complete and properly filed
Administrative Support
- Organize electronic filing systems
- Maintain spreadsheets and reports
- Coordinate office projects and special assignments
- Assist with event planning and company initiatives
- Handle incoming calls and direct inquiries appropriately
Personal Assistance
Occasionally assist the Broker with personal administrative tasks such as:
- Scheduling appointments
- Coordinating personal errands and deliveries
- Managing reminders and important deadlines
- Assisting with travel planning and reservations
QUALIFICATIONS
- Minimum 2 years of administrative or executive assistant experience
- Bilingual (English & Spanish)
- Property management or real estate experience preferred
- Excellent organizational and time management skills
- Strong written and verbal communication and follow-up skills
- People skills. The ability to build a great rapport with clients and colleagues
- Ability to prioritize multiple projects simultaneously
- Professional demeanor with high attention to detail
- Ability to learn company-specific software programs and applications.
- Strong problem-solving abilities
- Ability to maintain confidentiality
