About Massachusetts Peace Action (MAPA) Education Fund:
MAPA is the largest peace organization in Massachusetts and our vision is a world at peace where war has been abolished as a method for resolving conflict. We are a grassroots organization. We organize for peace at home and abroad by challenging the military-industrial complex, advocating for a redistribution of resources from military spending to human needs, and addressing the root causes of war and social injustice. Peace is a foundational element in all our campaigns for social change.
We are hiring an Operations & Administration Director to manage the finance, technology, data, and operational functions of both Massachusetts Peace Action (a 501c4 organization) and the Massachusetts Peace Action Education Fund (a 501c3 organization). About the Role
The Operations & Administration Director (OAD) is a key member of the leadership team, responsible for strengthening organizational effectiveness and workflow efficiency across finance, data, technology, and internal operations. Working closely with the Executive Director, staff, interns, and volunteers, the OAD will coordinate the daily operations of the organization, help develop new internal systems and refine existing ones to improve communication and collaboration across different streams of organizational work, and help to build a warm and supportive office environment.
The ideal candidate will be mission-focused, organized, resourceful, action-oriented, and a strong team player who also has the ability to work independently. This position is shared between Massachusetts Peace Action (c4) and the MAPA Education Fund (c3), with salary supported proportionally by each organization.
Responsibilities:
Executive & Administrative Support
- Provide comprehensive administrative support, including scheduling, meeting and board logistics, project management, and records maintenance, including personnel records.
- Supervise office operations, including vendor and lease management, legal paperwork, event logistics, and intern supervision.
- Organize and manage logistics for staff meetings, staff retreats, and similar events
- Assist the executive director in communicating ED’s decisions and priorities to the rest of the organization
- Oversee office operations, including vendor management, supplies, equipment, and leases.
Finance
- Manage daily financial operations, including budgeting, tax filings, reconciliations, fundraising and sponsorship tracking
- Handle financial reporting, budgeting, and tax filings, including coordinating with the bookkeeper and volunteer CPA.
- Manage the contract Bookkeeper and supervise the Office Manager on check deposits
Data & Technology
- Oversee data and CRM integrity, website maintenance, and all software accounts (e.g., Google Workspace, QuickBooks), while managing technology contracts and backups.
- Manage MAPA's website back end (Hostpapa)
- Manage MAPA's accounts with Google Workspace, Google Drive, Google Calendar, Google Groups, QuickBooks, Zoom, EveryAction (Bonterra), 1Password, OneSwitchboard, Comcast, and similar tools

Technical
- QuickBooks Online
- EveryAction CRM
- MS Excel and/or Google Sheets
- Google Workspace (Drive, Docs, Calendar, Groups)
- Zoom and scheduling tools
- Website and database administration experience a plus
Experience
A demonstrated track record using technology to support organizing, campaigning, or advocacy is a strong background for this role. We are looking for someone who has worked with constituent databases and financial information in a small, flexible work environment and is ready to take on broader administrative leadership. Terms of Employment
This is a three quarter time, salaried position with the possibility of increasing to full time. Compensation will be commensurate with experience. We observe approximately 12 national holidays. Employees receive three weeks paid vacation and five sick days per year. Reimbursement toward health insurance is negotiable. Some work can be done remotely, but proximity to our Cambridge, Massachusetts office is required, as some tasks as well as this leadership role require regular in-person presence.
Supervision
The Operations & Administration Director reports to the Executive Director. This position supervises the Office Manager and the contract Bookkeeper, and may supervise interns.
