Position Summary
The Purchasing Manager is responsible for procuring raw materials, packaging, production supplies, maintenance items, and outside services required to support manufacturing operations. This position ensures materials are available when needed while maintaining competitive pricing, minimizing inventory carrying costs, and building strong supplier relationships.
The Purchasing Manager works closely with Production, Quality, Sales, Warehouse, and Accounting to ensure uninterrupted manufacturing while maintaining compliance with company quality standards and applicable regulatory requirements.
Key ResponsibilitiesPurchasing & Procurement
- Purchase raw materials including acids, surfactants, solvents, polymers, specialty chemicals, and additives.
- Purchase packaging materials including bottles, jugs, pails, drums, totes, caps, labels, corrugated boxes, and pallets.
- Source production supplies, PPE, maintenance items, office supplies, and capital equipment as needed.
- Issue purchase orders and monitor open orders until receipt.
- Maintain accurate purchasing records within the ERP/accounting system.
- Ensure vendors meet required delivery dates.
Inventory Management
- Monitor inventory levels and establish reorder points.
- Work with Production to forecast material requirements.
- Prevent production interruptions caused by stock shortages.
- Minimize excess and obsolete inventory.
- Conduct regular inventory reviews and assist with cycle counts.
Supplier Management
- Develop and maintain relationships with qualified suppliers.
- Obtain competitive quotations and negotiate pricing, payment terms, freight, and lead times.
- Evaluate supplier performance regarding:
- Quality
- Delivery
- Responsiveness
- Pricing
- Identify alternate suppliers to reduce supply chain risk.
Cost Management
- Continuously identify cost-saving opportunities.
- Negotiate annual pricing agreements.
- Evaluate freight costs and transportation options.
- Track commodity price trends that affect raw material costs.
- Assist management with budgeting and forecasting.
Quality & Compliance
- Ensure purchased materials meet company specifications.
- Coordinate with Quality regarding supplier issues and corrective actions.
- Obtain and maintain required documentation including:
- SDSs
- Certificates of Analysis (COAs)
- Regulatory documentation
- Insurance certificates when applicable
- Support ISO quality system requirements and supplier evaluations.
- Maintain approved supplier lists.
Cross-Functional Support
- Coordinate daily with Production regarding upcoming manufacturing schedules.
- Communicate anticipated shortages or delays.
- Assist Accounting with invoice discrepancies and vendor issues.
- Work with Warehouse personnel to resolve receiving discrepancies.
- Participate in continuous improvement initiatives.
