Overview
We are seeking a dynamic and highly organized Office Administrative Assistant to join our team! Duties
- Greet visitors and manage front desk responsibilities with warmth and professionalism
- Answer multi-line phone systems promptly and courteously, directing calls efficiently
- Manage calendar appointments, meetings, and scheduling for staff members
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite and Google Workspace tools for report creation, correspondence, and record-keeping
- Support bookkeeping tasks using QuickBooks or similar accounting software as needed
- Handle clerical duties such as photocopying, faxing, mailing, and maintaining office supplies
- Assist with customer service inquiries via phone or email, providing excellent support and support documentation
- Maintain organized files and records for easy retrieval and compliance purposes
- Provide personal assistant support to executives or team leads as required
Skills
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
- Familiarity with QuickBooks or other bookkeeping software is a plus
- Excellent phone etiquette with experience managing multi-line phone systems
- Bilingual abilities are highly desirable to support diverse client and staff needs
- Strong typing skills combined with attention to detail for proofreading and data entry tasks
- Knowledge of clerical procedures including filing systems, document management, and record keeping
- Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment
- Experience in customer service roles within dental or medical reception settings is advantageous
- Personal assistant experience or calendar management expertise is beneficial
