Responsibilities
- Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi-line phone systems, handle incoming calls, and route messages efficiently
- Maintain organized filing systems, both physical and digital, including data entry and document proofreading
- Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings
- Assist with bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
- Provide customer service support by responding promptly to inquiries via phone, email, or in person
- Perform clerical duties including typing correspondence, proofreading documents, and managing office supplies
Requirements
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Excellent computer literacy with the ability to learn new software quickly
- Bilingual abilities are highly desirable for effective communication with diverse clients and team members
- Previous experience in office management or administrative roles preferred
- Strong time management skills with the ability to prioritize tasks efficiently
- Knowledge of front desk procedures, phone etiquette, and customer support best practices
- Experience with medical or dental receptionist duties is a plus but not required
- Personal assistant or medical receptionist experience is advantageous for handling specialized tasks such as calendar management and patient coordination
