Position Summary
The Customer Service Representative serves as the primary point of contact for incoming calls to the agency and provides initial access to programs and services. This position is responsible for assisting applicants and clients by providing information about available services, discussing program options, conducting telephone screenings, and determining the most appropriate programs and resources based on individual needs.
The ideal candidate is compassionate, professional, organized, and able to communicate effectively with clients from diverse backgrounds while managing multiple responsibilities in a fast-paced environment.
Essential Duties and Responsibilities
· Answer all incoming calls in a professional, courteous, and timely manner.
· Conduct telephone screenings for individuals who may qualify for agency programs using the appropriate DOEA-approved screening forms.
· Maintain accurate and up-to-date client waiting lists.
· Conduct annual or as-needed rescreening’s for clients on waiting lists.
· Enter accurate and complete information from initial screenings and rescreening’s into the agency’s database and other required systems.
· Address and resolve client complaints in a timely, professional, and satisfactory manner.
· Respond to client referrals and provide information regarding agency programs and available services.
· Participate in agency-wide performance improvement initiatives, including client surveys, data collection, and related quality improvement activities.
· Perform other duties and responsibilities as assigned.
Qualifications
· High school diploma or equivalent required.
· Previous customer service experience required; experience in healthcare, social services, or a related field is preferred.
· Proficiency in Microsoft Word, Excel, and Outlook.
· Bilingual proficiency in English and Spanish required.
· Fluency in English, Spanish, and Creole is a plus.
· Excellent verbal and written communication skills.
· Strong organizational, time-management, problem-solving, and attention-to-detail skills.
· Ability to multitask, prioritize responsibilities, and work effectively in a fast-paced environment.
· Demonstrated ability to interact professionally and compassionately with clients, families, and community partners.
Schedule
Monday – Friday Fulltime 8:00 AM – 5:00 PM
