We are seeking a Client Services Administrator to join our Moraga, California office, someone with exceptional client service and sales skills who wants to be the welcoming face of a firm they're proud to represent.

Your Responsibilities
- Be the first impression. Whether on the phone or in person, you set the tone. Warmly greet clients and visitors, make them feel welcome and at ease, and ensure every interaction reflects the firm's commitment to exceptional service.
- Keep the office at its best. Manage daily office operations, maintain and organize the reception area, storage spaces, and all common areas, and ensure the Moraga office is always running smoothly and professionally.
- Drive the client journey from first contact through onboarding, managing the firm's intake and legal sales process with professionalism, precision, and genuine care.
- Be the voice of the firm on every call. Poised, professional, and personable, you represent who we are before a client ever walks through the door, physically or virtually.
- Guide clients through the billing process with confidence and empathy, assist confidently and skillfully with invoice collections, and partner with the firm's Accounting Manager to stay on top of outstanding balances.
- Keep our team moving. Support attorneys and staff with scheduling, calendar management, correspondence, data entry, filing, scanning, and travel arrangements.

What You Bring
- A warm, confident presence and a genuine passion for delivering exceptional client service, both on the phone and in person.
- Proven sales experience and the instincts to guide prospective clients through a decision with empathy and professionalism.
- Strong office administration experience, including scheduling, correspondence, and day to day operational support.
- Excellent communication skills, written and verbal, with polished phone and in person etiquette.
- This role requires the ability to maintain confidentiality and handle sensitive information with professionalism and discretion.
- Law firm experience is a strong plus, particularly in client intake, legal administration, or legal assistant roles.
- Comfort with technology and a natural ability to learn new tools and platforms quickly. We are a legal technology leader and we expect our team to embrace that.
- Experience with social media and marketing is a bonus.
- A team first mindset with the drive to take initiative, solve problems, and step up without being asked.
- High school diploma or equivalent required; Bachelor's degree preferred.
Job Details
- Full-time position, Monday through Friday, 8:30 a.m. to 5:30 p.m.
- On-site in our Moraga, California office
- Compensation commensurate with experience and performance
