Job Description
Position Summary
The Leasing Team Lead balances active leasing responsibilities with leadership and operational support. This role maintains an individual leasing pipeline while serving as the first point of contact for day-to-day questions, supporting onboarding, monitoring leasing activity, resolving applicant escalations, and partnering with Leasing Management to improve processes, quality, and occupancy performance. The Team Lead provides guidance and peer coaching while remaining an active leasing professional.
Essential Job Functions
1. Functional Responsibilities
- Spend approximately 40-60% of time actively leasing homes, managing prospects, conducting follow-up, and converting applicants while assisting with daily workflow coordination. *Percentage may change based on business needs and will be discussed with Leasing Team Lead*
- Maintain an individual leasing portfolio and consistently meet established leasing production expectations while balancing Team Lead responsibilities.
- Assist the Leasing Manager with team meetings, quality audits, onboarding, and peer coaching; provide feedback but formal performance management remains with leadership.
- Monitor leasing activity, prospect engagement, and conversion metrics and recommend process improvements.
2. Operational / Departmental Support
- Support onboarding and training of new Leasing Consultants and share best practices.
- Partner with the Leasing Manager and market leaders to improve processes, resolve operational challenges, and optimize results.
- Serve as the first escalation point for applicant concerns and provide coverage during absences.
3. Compliance & Risk Management
- Ensure adherence to applicable federal, state, and local regulations including Fair Housing, ADA, and FCRA requirements.
- Maintain required documentation and support audit readiness and reporting standards.
- Identify operational and compliance risks and escalate concerns appropriately.
4. Financial / Performance Accountability
- Support occupancy goals through personal leasing production and operational support.
- Maintain an individual leasing pipeline while assisting with portfolio occupancy initiatives.
- Monitor Days on Market (DOM), response times, and operational metrics and communicate improvement opportunities.
- Support productivity initiatives through peer coaching and knowledge sharing.
5. Leadership / Collaboration
- Provide day-to-day guidance, mentoring, and technical support to Leasing team members.
- Collaborate cross-functionally with Operations, Property Management, and market leaders to support business objectives.
- Promote company values, customer service standards, and professional accountability.
6. Additional Responsibilities
- Represent the company professionally in all internal and external interactions.
- Maintain working knowledge of the full leasing lifecycle and communicate processes effectively.
- Perform other duties as assigned to support business objectives.
Performance Expectations & Key Metrics:
Performance will be evaluated based on measurable outcomes aligned with company and departmental goals. Metrics may include:
- Occupancy Performance: Achieve individual leasing goals while supporting overall team occupancy objectives.
- Prospect Responsiveness: Maintain 24–48-hour response times for prospect communication and follow-up.
- Personal & Team Productivity: Meet individual leasing goals while supporting team productivity and service standards.
- Quality Assurance: Support QA and call score standards through peer coaching, auditing, and best-practice sharing.
- Days on Market (DOM): Manage DOM performance in alignment with occupancy and turnover targets.
- Onboarding & Retention: Support effective onboarding and training to improve productivity and employee retention
Required Qualifications
Education
- Bachelor’s degree in Business Administration, Marketing, Management, Communications, or related field preferred
Experience
- Minimum of 2 years of multi-family and/or single-family rental home experience
- Minimum of 2 years of leasing experience
- Experience leading, mentoring, or serving as a team lead preferred
Skills & Competencies
- Knowledge of Fair Housing and local real estate regulations, where applicable
- Intermediate proficiency in Microsoft Word, Excel, and PowerPoint; advanced preferred
- Working knowledge of MRI, Yardi, OneSite, and/or Salesforce
- Strong written and verbal communication skills
- Detail-oriented with the ability to manage multiple priorities and deadlines
- Demonstrated critical thinking and problem-solving capabilities
- Ability to thrive in a high-volume, fast-paced environment
Preferred Qualifications
- Experience service as a Team Lead or mentoring remote or centralized leasing teams.
- Experience working in single-family rental and/or institutional property management environments
- Experience with performance reporting and KPI management
