Overview
We are seeking a dynamic and organized Marketing Event Coordinator to join our team. This role involves planning, executing, and managing a variety of events to promote our brand and engage our target audience. The ideal candidate will have a strong background in event marketing, excellent communication skills, and the ability to coordinate multiple projects simultaneously. Experience in hospitality, catering, or restaurant environments is a plus, along with a passion for creating memorable experiences that drive business growth.
Responsibilities
- Coordinate communications projects from planning through execution, ensuring deadlines, priorities, and deliverables are successfully achieved.
- Coordinate the planning, logistics, production, and on-site execution of corporate events, executive engagements, conferences, sponsorship activations, community initiatives, and other special projects.
- Serve as the primary liaison between internal departments, agencies, vendors, consultants, venues, and strategic partners throughout the execution of communications initiatives.
- Prepare/support presentations, executive briefing materials, reports, meeting agendas, correspondence, and other departmental communications resources.
- Manage project schedules, departmental calendars, timelines, approvals, contracts, purchase orders, invoices, and project documentation.
- Organize and facilitate meetings, document action items, and ensure timely follow-up on commitments and deliverables.
- Assist with media relations logistics, executive appearances, internal communications initiatives, and day-to-day departmental operations.
- Monitor project progress and proactively identify potential challenges while recommending solutions to maintain successful execution.
- Provide administrative and operational coordination to support the overall effectiveness of the Communications Office.
Skills
- Proven experience in event marketing, planning, or management within hospitality or related industries.
- Strong negotiation skills to secure favorable contracts and vendor agreements.
- Excellent communication and interpersonal skills for guest services and client interactions.
- Exceptional organizational skills with the ability to manage multiple projects under tight deadlines.
- Proficiency in budgeting, scheduling, and project management tools.
- Experience in upselling event packages to increase revenue streams.
- Knowledge of fundraising strategies is advantageous for nonprofit or community-focused events.
- Ability to handle event logistics such as catering arrangements, banquet setup, and guest accommodations efficiently.
- Familiarity with contracts, venue management software, and hospitality standards is preferred.
