Veterinary Client Service Representative
Love People, Pets, and a Job Where No Two Minutes Are the Same?
At Acton Animal Hospital in Granbury, Texas, our Client Service Representatives are much more than receptionists. They connect our clients, patients, doctors, and medical team—and help keep the hospital moving.
We're looking for someone who is friendly, adaptable, organized, and comfortable switching gears throughout the day.
This is not a position where you sit at the front desk and work through one task at a time.
You might be answering the phone when a client walks through the door. You'll acknowledge and greet them, finish what needs to be done on the phone, check the client in, update the computer, answer a teammate's question, handle paperwork, and then return to what you were doing.
That's a normal day here—because nothing is really "normal."
If that sounds overwhelming, this probably isn't the right position for you. But if you enjoy staying busy, prioritizing what needs your attention, interacting with people, and working as a team, you may be exactly who we're looking for.
What Success Looks Like
Our strongest Client Service Representatives:
- Genuinely enjoy working with people. You'll spend as much time communicating with people as helping their pets.
- Can multitask without ignoring what's happening around them. A client walking through the door should be acknowledged even when you're already busy.
- Switch tasks easily. Phone → client → computer → paperwork → teammate → back to the original task.
- Stay friendly and professional when things get busy.
- Pay attention to details. Moving quickly doesn't mean sacrificing accuracy.
- Communicate with the team. You won't work in isolation at the front desk.
- Notice what needs to be done and help. We expect team members to step in when another area needs assistance.
- Know their primary responsibility. Helping the team doesn't mean abandoning the front desk or allowing your responsibilities to fall behind.
- Take ownership. If you start something, follow through or communicate clearly when it needs to be handed off.
Veterinary Experience Strongly Preferred
Previous veterinary experience is strongly preferred, particularly in veterinary reception, client service, or a veterinary assistant role.
Veterinary medicine has its own language, workflow, urgency, and emotional challenges. Experience understanding how a veterinary hospital operates will help you succeed.
We also value the right combination of customer service experience, adaptability, communication, initiative, and willingness to learn.
What You'll Do
- Greet clients and patients and help them feel welcome.
- Answer and manage incoming phone calls.
- Schedule appointments based on client and patient needs.
- Check clients and patients in and out.
- Communicate clearly about appointments, recommendations, costs, and next steps.
- Process payments and maintain accurate information.
- Manage emails, paperwork, and client communications.
- Keep reception and client areas clean, organized, and inviting.
- Communicate with doctors, technicians, assistants, and other CSRs.
- Recognize when teammates need help and step in when appropriate.
- Assist in other areas of the hospital as your training allows.
We're a Cross-Trained Team
We don't believe in departments that operate as separate islands.
All new team members complete a structured training program, and cross-training is an important part of how we operate. Understanding what happens throughout the hospital makes you better at helping clients, communicating with the medical team, and recognizing what needs to happen next.
We expect you to learn beyond the front desk and help teammates when needed. At the same time, your primary responsibility matters. A great team member knows when to jump in and help—and when their own position needs their attention.
