Position Overview:
The Administrative Assistant is a part-time role (approximately 15-25 hours per week) that supports the daily operations of the Golf Course Maintenance facility. The ideal candidate is organized, detail-oriented, and proactive, with the ability to manage multiple priorities and provide reliable support to the department.
Position Responsibilities:
Process department invoices and verify details such as tax rates and coding accuracy.
Scan, save, and maintain organized invoice records.
Manage department supply and inventory needs, including office supplies, kitchen supplies, snacks, beverages, vending machine items, and employee break area supplies.
Research products, pricing, and purchasing options to identify cost-effective solutions; place orders, receive deliveries, unpack, distribute, and stock supplies.
Maintain accurate inventory tracking and expense spreadsheets, monitor supply levels, and proactively reorder items as needed.
Provide monthly vending machine deposits to Accounting.
Coordinate onboarding for new hires and rehires, including assisting with onboarding tasks.
Assist with employee timecards including missing punches and punch change requests.
Assist with departmental accident packets and related documentation as needed.
Develop expense tracking spreadsheets and keep detailed records of expenditures.
Other administrative duties as assigned.

High school diploma or equivalent required.

Previous administrative, office management, or similar experience preferred.

Proficiency in Microsoft Office, including Excel, Word, and Outlook.

Strong organizational skills, attention to detail, and ability to multi-task.
