We are seeking an energetic and detail-oriented Receptionist / Administrative Office Assistant to join our dynamic team. Duties
- Greet visitors warmly and professionally, directing them appropriately and maintaining a welcoming atmosphere
- Manage multi-line phone systems, answer inquiries, and direct calls with excellent phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and packages
- Maintain organized filing systems, data entry records, and ensure accurate document proofreading
- Support office management tasks such as calendar management, appointment scheduling, and personal assistance as needed
- Perform clerical duties including photocopying, scanning, filing, and updating databases using Microsoft Office and Google Workspace tools
- Assist with bookkeeping tasks using QuickBooks or similar accounting software, including basic bookkeeping and invoicing
Skills
- Proven experience in front desk operations and office management with strong organizational skills
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry skills
- Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
- Strong customer service skills with the ability to handle inquiries professionally and courteously
- Knowledge of multi-line phone systems and phone etiquette to manage high call volumes efficiently
- Experience in clerical tasks such as proofreading, filing, and calendar management
- Ability to prioritize tasks effectively with excellent time management skills
- Personal assistant experience or office experience that demonstrates reliability and discretion
