At Oak Park Pediatrics, the front desk is more than a check-in point. It is the beginning of trust, calm, and clarity for families and children. We are seeking a Front Desk Coordinator who brings a warm, organized, and steady presence to a busy pediatric practice where every interaction helps shape the patient experience.
As the Front Desk Coordinator, you help create a steady, positive experience for both families and the clinical team. You guide parents through questions and next steps, support communication across the office, and help turn busy moments into organized ones with professionalism, empathy, and attention to detail.
What You'll Be Doing
You keep the front office running smoothly while creating a calm, welcoming experience for every family.
You create a welcoming patient and family experience
- Greet patients and families warmly and professionally as they arrive
- Answer parent and patient questions about appointments, forms, and office procedures
- Stay calm, friendly, and helpful in a fast-paced pediatric setting
- Bring sensitive concerns to the Office Manager when needed
You run check-in, check-out, and scheduling with accuracy
- Handle check-in and check-out efficiently and correctly
- Schedule, reschedule, and confirm appointments using practice guidelines
- Answer incoming calls promptly and route questions to the right place
- Keep patient demographics and insurance information up to date in the system
You support basic insurance and billing tasks when needed
- Collect copays and coinsurance at the time of service following practice guidelines
- Help with basic insurance verification and eligibility checks as directed
- Assist with billing or claims tasks as needed under established guidance
- Route complex billing questions or disputes to the appropriate team or external partner
You keep documentation organized and consistent
- Make sure forms, records, and documentation are completed and handled correctly
- Follow established front office procedures to support accuracy and consistency
- Keep the front desk workspace and administrative materials organized
You protect privacy and follow office procedures
- Safeguard patient privacy and confidentiality in line with HIPAA requirements
- Follow office policies for patient information, documentation, and communication
- Stay aware of workplace safety expectations and front office procedures
- Report privacy or compliance concerns to the Office Manager promptly
You collaborate with the team to support patient flow
- Coordinate with clinical staff to keep visits moving and patients ready
- Communicate clearly about scheduling changes and patient needs
- Pitch in with coverage during peak times, absences, or high-volume periods
- Participate in training and team meetings as required

Experience that helps:
- A high school diploma or equivalent, required
- Experience in a customer-facing role, with healthcare exposure as a plus
- Comfort working in a fast-paced, people-centered environment
- Familiarity with a medical or pediatric office setting, front office workflows, EHR systems (Epic preferred), or basic billing and insurance processes
