Office & Operations Coordinator (Part-Time – 26 Hours/Week)
Position Summary
The Office & Operations Coordinator plays a key role in ensuring the efficient day-to-day operation of the organization. This position oversees office administration, supports financial and human resources processes, coordinates vendors and operational systems, and provides administrative support across departments. The ideal candidate is organized, proactive, adaptable, and enjoys working in a mission-driven environment.
Key Responsibilities
Office Operations & Administration
- Manage daily office operations and administrative systems
- Serve as the first point of contact for visitors, volunteers, vendors, and incoming calls
- Coordinate office supplies, mail, records management, and operational purchasing
- Assist with building maintenance, repairs, and vendor relationships
- Maintain organizational records and support required reporting and filings
Financial & Vendor Coordination
- Support financial processes including deposits, invoice management, reporting, and revenue tracking
- Partner with the organization's financial vendor to ensure accurate and timely reporting
- Assist with payroll-related administrative tasks
- Manage external giving portals and donor documentation
- Support compliance and reporting requirements
Human Resources Support
- Assist with benefits administration and employee record maintenance
- Support payroll, benefits, and staff accrual tracking updates
- Help maintain organizational policies and standards
Program & Volunteer Support
- Process volunteer background checks and reference checks
- Coordinate volunteer opportunities that support office and operational needs
Organizational Support
- Collaborate with staff across departments to support organizational goals
- Help maintain a positive, welcoming, and mission-focused workplace
- Support community engagement and relationship-building efforts
What We're Looking For
Qualifications
- Associate degree and at least two years of relevant experience in office administration, operations, finance support, or human resources administration
- Experience supporting multiple functional areas such as office operations, HR, finance, or vendor coordination
- Nonprofit experience is a plus
Critical Skills
- Strong organizational and time management abilities
- Exceptional attention to detail and accuracy
- Ability to manage multiple priorities and deadlines
- Experience with Microsoft Office and cloud-based systems
- Understanding of bookkeeping processes, invoicing, deposits, and financial reporting support
- Knowledge of HR administrative functions including benefits, payroll support, and recordkeeping
- Ability to maintain confidentiality and handle sensitive information professionally
- Strong customer service and interpersonal skills
- Ability to work independently and collaboratively

Compensation:
The compensation for this Part-Time position is competitive pay commensurate with experience. Benefits include health insurance, vacation, holidays, wellness days, 401k retirement plan and an employee assistance plan.
