OVERVIEW OF THE POSITION
The Administrative Assistant plays a crucial role in providing comprehensive support to the clinic by assisting the Administrative Manager, medical, and behavioral health teams and ensuring smooth administrative operations. This position requires attention to detail, strong organizational skills, and the ability to multitask effectively in a fast-paced environment.
DUTIES
Patient Interactions

Greet patients, answer phones, respond to texts, schedule management, and direct calls/messages to the appropriate staff members

Collect payments from patients and assist in managing credit/balances due

Provide education and awareness of Klarisana Policies and Procedures and resources to patients as they are applicable

Seat patients in treatment rooms and as needed escort patients to restroom and/or vehicle post session

Maintain a compassionate and calm demeanor amidst moments of stress or heightened emotion both in-person and via digital phone/text communication
Administrative Tasks

Process medical records and ensure accuracy and confidentiality

Manage document scanning and uploading, voicemail system, faxes and tasks in our EMR system

Work collaboratively with Revenue Cycle Management (RCM) team to collect and verify insurance coverage and outreach patients with updates as they relate to continuity of care or cost

Oversee proper documentation of demographic information, insurance coverage, communication logs, patient and insurance forms, etc. for accuracy ease of communication amongst departments

Management of internal and external clinic communication (clinic mail, digital communication, ad hoc requests from other departments)

Additional duties as assigned
Clinic Support

Contribute to the opening of the clinic, ensuring overall cleanliness and readiness for patients

Collaborate with the clinic team to manage inventory and supplies effectively

Assist clinical staff as needed, including escorting patients to restrooms or vehicles

Office Based and Clinical Setting.
TRAVEL REQUIREMENTS
Commuting to and from clinic locations.

QUALIFICATIONS

High school diploma or general education degree (GED) required

Bachelor’s Degree or 2-3 years of clerical, secretarial, or office experience

Proficient computer skills, including Microsoft Office or GSuite

Deescalation skills preferred
