Responsibilities
- Greet visitors warmly, manage front desk operations, and ensure a positive first impression
- Answer multi-line phone systems promptly with professional phone etiquette, directing calls accurately
- Schedule appointments, manage calendars, and coordinate meetings using productivity software such as Microsoft Office and Google Workspace
- Perform data entry tasks with precision, maintain filing systems, and ensure all records are up-to-date and organized
- Provide exceptional customer service by assisting clients, patients (if applicable), or vendors with inquiries and support needs
- Manage office supplies inventory, place orders when necessary, and oversee general office management tasks
- Support bookkeeping activities using software, including invoicing and expense tracking
- Proofread documents for accuracy and clarity before distribution or filing
- Assist with personal assistant duties such as calendar management and travel arrangements as needed
Qualifications
- Proven experience in office management or administrative roles with a minimum of clerical experience in a professional setting
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Demonstrated customer service skills along with excellent phone etiquette for handling inquiries professionally
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Technical proficiency in office equipment such as multi-line phones, printers, scanners, and basic bookkeeping software like QuickBooks is preferred
- Strong typing skills with attention to detail for proofreading documents accurately
