Position Summary:
Urban Transportation LLC is a specialized non-emergency medical transportation (NEMT) provider known for delivering safe, reliable, and high-quality transportation services, including bariatric and wheelchair-accessible transport. The Receptionist/Dispatcher plays a dual role in both operations and growth, serving as the central point of communication while also supporting marketing, outreach, and relationship-building efforts.
This role is ideal for a highly organized, confident professional who can manage scheduling and administrative responsibilities while actively promoting the agency, building partnerships, and expanding contract opportunities.
Key Responsibilities:
Answer and manage all incoming phone calls in a professional and timely manner, ensuring excellent customer service and accurate information sharing.
Schedule, coordinate, and dispatch transportation services efficiently, ensuring alignment with driver availability and client needs.
Monitor daily schedules and proactively resolve delays or conflicts to maintain on-time service delivery.
Ensure timely follow-up on all emails, voicemails, and client communications.
Assist with onboarding new hires by coordinating paperwork and supporting completion of required documentation, including obtaining a UMPI through the Minnesota Department of Human Services.
Actively market Urban Transportation LLC services through cold calls, follow-ups, and outreach to healthcare providers, case managers, and community organizations.
Build and maintain professional relationships with referral sources and partner agencies to support contract growth.
Represent the agency at networking events, community events, and industry meetings to increase visibility and establish partnerships.
Develop, refine, and confidently deliver elevator pitches that clearly communicate the agency’s value, including its specialized bariatric and wheelchair transportation services.
Create and manage outreach materials such as call scripts, email templates, and marketing messaging.
Register the agency for events, vendor opportunities, and networking platforms to expand business development efforts.
Ensure all completed services are documented accurately and submitted for billing in a timely manner.
Submit billing through appropriate payers and funding sources in compliance with requirements.
Prepare and submit invoices as necessary while maintaining organized financial tracking.
Support leadership in identifying growth opportunities, improving workflows, and strengthening operational systems.
Qualifications:
High school diploma required; associate or bachelor’s degree preferred.
Experience in dispatching, customer service, healthcare coordination, or NEMT strongly preferred.
Strong communication skills with confidence in both phone-based outreach and in-person networking.
Ability to multitask, prioritize, and stay organized in a fast-paced environment.
Professional presence with the ability to represent the company externally.
Comfortable with sales, outreach, and relationship-building activities.
Proficiency in Microsoft Office and scheduling/dispatch systems.
Familiarity with NEMT operations, billing, or healthcare systems is a plus.
