Our Customer Service Representative/Dispatcher is often the first voice a customer hears and the first impression they have of Ideal. We are looking for someone who is professional, confident, organized, friendly, dependable, and genuinely cares about helping people.

PLUMBING & HEATING DISPATCH EXPERIENCE IS A MUST
Experience dispatching for a plumbing and/or HVAC company is strongly preferred and considered a must for this position. You should understand the urgency and importance of service calls, know how to match the right technician to the right job, and be comfortable making quick decisions when the schedule changes.Must be able to use a computer.
WHAT YOU'LL DO
Be the Voice of Ideal
- Answer multiple incoming phone lines and online service requests professionally and courteously.
- Create a positive experience from the first phone call through completion of the customer's service.
- Provide customers with accurate arrival windows and updates when schedules change.
- Confirm appointments, handle reschedules, and follow up with customers.
- Handle customer concerns and complaints calmly, professionally, and with a solution-focused attitude.
- Communicate with customers in a way that reflects our commitment to treating every customer like family.
Dispatching, Scheduling & Routing
- Schedule and dispatch plumbing and HVAC service calls efficiently.
- Match technician skills and experience to the appropriate job.
- Build smart daily routes to reduce unnecessary drive time and fuel costs.
- Adjust schedules when jobs run long, technicians become unavailable, or emergency calls arise.
- Coordinate return trips when special-order parts or materials arrive.
- Keep technicians informed of job scopes, customer concerns, site requirements, and special instructions.
- Track technician locations and job progress using dispatch software.
- Service Technicians Time entry
Office & Administrative Support
- Assist with daily office operations and organization.
- Filing, data entry, customer database maintenance, and documentation.
- Review completed work orders, timecards, and invoices for accuracy.
- Assist with collections and customer follow-up.
- Perform sales follow-up calls and help identify opportunities to serve our customers.
- Pull permits and coordinate required inspections.
- Schedule service appointments, inspections, and other necessary follow-up work.
- Maintain accurate customer information and clear, detailed service notes.
- Assist in Installation of Equipment process from beginning to completion
- Assit Operations Manager and Utility Coordinator
- Assist Accountant in Data Entry

Schedule
Monday–Friday | 7:00 AM–3:30 PM
On-call dispatching responsibilities will be required.

The dispatcher is the heartbeat of the office and the voice of the company.
