Job Summary
We are seeking a dynamic and detail-oriented *Event Coordinator* to oversee and execute a variety of events, including corporate functions, weddings, fundraisers, and hospitality gatherings. The ideal candidate will possess strong organizational and communication skills, with a passion for creating memorable experiences. This role involves collaborating with clients, vendors, and internal teams to ensure seamless event execution from planning to completion. A background in hospitality, banquet management, or restaurant experience is highly desirable. The Event Coordinator will play a key role in managing budgets, contracts, and marketing efforts to maximize event success and client satisfaction.
Duties
- Coordinate all aspects of event planning including venue selection, catering, entertainment, decor, and logistics
- Negotiate contracts with vendors, venues, and service providers to secure the best terms
- Develop and implement effective marketing strategies for events to attract attendees and maximize visibility
- Upsell additional services such as catering upgrades or premium packages to enhance revenue opportunities
- Manage event budgets ensuring cost-effective solutions while maintaining quality standards
- Oversee event setup and breakdown, ensuring all elements are executed according to plan
- Provide exceptional customer service by addressing client needs promptly and professionally
- Collaborate with clients to understand their vision and tailor event plans accordingly
- Coordinate with catering teams, hotel staff, or banquet personnel to ensure smooth operations during events
- Handle guest services and resolve any issues that arise during the event to ensure guest satisfaction
- Track event performance metrics and gather feedback for continuous improvement
Qualifications
- Proven experience in event planning, hospitality, banquet management, or related fields such as restaurant or hotel experience
- Strong negotiation skills with vendors and clients
- Experience with GMCVB, Chamber of Commerce and BID
- Knowledge of Open Table, Tripleseat and Square POS
- Excellent marketing skills with experience in event marketing and promotion strategies
- Ability to upsell services effectively while maintaining customer satisfaction
- Exceptional organizational skills with keen attention to detail and time management abilities
- Effective communication skills for liaising with clients, vendors, and team members
- Experience in budgeting and contract management
- Knowledge of fundraising strategies is a plus for nonprofit or charity events
- Customer service-oriented mindset with a professional demeanor
