Position Summary
The Community Association Manager is responsible for the overall management and supervision of an 8-10 property portfolio of condominium and homeowner associations. This role serves as the primary liaison between the Association's Board of Directors, homeowners, vendors, and our internal team, ensuring each community is professionally managed and operating efficiently.
This position requires travel throughout the suburbs to attend Board meetings, conduct property inspections, oversee projects, perform community walk-throughs, and attend community events as needed.
Key Responsibilities
- Serve as the primary point of contact for Board Members, homeowners, committee members, and vendors.
- Manage the day-to-day operations of assigned community associations in accordance with management agreements, governing documents, and Association policies.
- Attend Board meetings, annual meetings, property inspections, project walk-throughs, and community events.
- Prepare Board meeting agendas, management reports, action item lists, and Board meeting packages.
- Partner with Association Boards to develop annual operating budgets.
- Review monthly financial statements and prepare management summaries for Board review.
- Prepare Requests for Proposals (RFPs), obtain competitive bids, negotiate vendor contracts, and oversee contractor performance.
- Coordinate maintenance projects, capital improvements, and vendor services from planning through completion.
- Conduct routine inspections of common areas and coordinate timely follow-up on maintenance items.
- Prepare annual homeowner disclosures, annual meeting notices, and financial statement mailings in compliance with Illinois statutes and governing documents.
- Maintain accurate homeowner and Association records.
- Utilize management tools including annual calendars, project trackers, procurement procedures, committee charters, resolution worksheets, and operating budgets.
- Provide professional recommendations to Association Boards regarding maintenance, operations, reserve planning, and capital improvement projects.
- Build strong relationships through proactive communication, responsiveness, and exceptional customer service.
Qualifications
- Illinois Community Association Manager (CAM) License required
- Community association management or property management experience required
- Strong interpersonal, communication, and customer service skills
- Excellent organizational, project management, and time management abilities
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Professional, self-motivated, and detail-oriented
- Proficient in Microsoft Office and Outlook
