The Production Coordinator is responsible for managing customer orders from the point of sale through final delivery and invoicing readiness. This role acts as the central liaison between Sales, Suppliers, and Accounting to ensure orders are executed accurately, on time and to customer expectations.
Order Management
- Take ownership of orders upon Sales Order handoff
- Review order details for accuracy, completeness, and feasibility
- Enter and maintain order data/updates in internal ERP Software
Vendor & Production Coordination
- Place purchase orders (POs) with suppliers/factories
- Confirm pricing, specs, timelines, and production details
- Build and maintain strong vendor relationships
Proofing & Customer Communication
- Obtain proofs from suppliers/factories and review for accuracy
- Coordinate proof approvals with customers and Sales team
- Communicate updates, changes, and timelines clearly
Timeline & Delivery Management
- Track all orders to ensure on-time delivery (“in-hands” dates)
- Proactively identify risks or delays and implement solutions
- Coordinate shipping/logistics as needed
- Update project in internal ERP Software at each new phase of the order so details shown in customer portal are up to date/accurate
Quality & Accuracy Control
- Ensure all order details (artwork, quantities, specs) are correct before production
- Troubleshoot and resolve issues with vendors and loop in Sales Team with solutions
Invoicing Preparation
- Confirm order completion and delivery
- Ensure all documentation and details are accurate in internal ERP Software for Accounting
- Prepare orders to be invoiced in a timely manner
Qualifications
- Strong organizational and time management skills
- High attention to detail and accuracy
- Excellent communication skills (internal and external)
- Ability to manage multiple orders and deadlines simultaneously
- Problem-solving mindset with a proactive approach
Preferred Skills
- 2+ years in production coordination, order management, or project coordination (industry-specific experience a plus)
- Experience working with vendors, factories, or overseas production
- Familiarity with order management or ERP systems
- Understanding of timelines, logistics, and supply chain basics
Pay: $40,000.00 - $50,000.00 per year
