This position exists to provide high-level administrative support to division of Academic Effectiveness and Innovation and Academic Operations, a large, complex college academic and student affairs division. This includes support to the Associate Vice President, Dean and staff in this division as well as support for faculty and staff working with the division. This position is responsible for managing complex administrative activities including: , college professional development calendar, events and activities coordinated through the division, academic affairs projects, academic affairs and standards council meetings, budget development and maintenance, and providing information and assistance. This position serves as the central location for communication for all activities, events, trainings, and projects administered through this department. Serve as the office manager and event coordinator for the Academic Effectiveness and Innovation division.
Provide administrative support to the Associate Vice President of Academic Affairs and the Dean of the Academic Effectiveness & Innovation Department.
Coordinate and support the functions of the Academic Affairs & Standards Council.
Coordinate and monitor meetings led by the Academic Effectiveness & Innovation and Academic Operations Departments.
Perform other duties as assigned to ensure the smooth functioning of the department and maintain the reputation of the organization as a viable business partner.
The salary range for this position is $22.62 to $30.62 hourly.
Knowledge of spreadsheet and database software to manage downloaded information from various sources to prepare reports.
Communications skills to respond to written and spoken communication with customers; file, categorize, and retrieve information; and write, prepare, and edit materials, using correct spelling, punctuation, grammar, and sentence construction;
Leadwork skills to plan, assign and review the work of other staff.
Customer service skills sufficient to answer the phone, refer callers, respond through written communication, and greet visitors with courtesy and respect.
Ability to research, complete, and summarize information into clear and concise correspondence and reports.
Ability to establish, maintain, and use electronic databases and record keeping systems
Ability to organize and prioritize one’s own and direct the work of other employees.
Three years’ experience as an administrative assistant in an academic setting;
Knowledge of college policies and procedures and inter-relationships of all units of the college and Minnesota State offices to facilitate the tasks and anticipate potential conflicts of the academic and student services administration areas of the colleges;
Demonstrated high skill level of the principles and practices of project management;
Ability to establish and maintain effective working relationships with administration, faculty and staff with the ability to work effectively and efficiently without supervision and direction;
Proficiency with advanced features of Microsoft Office Suite (Word, PowerPoint, Access and Excel);
Meeting and event planning experience;
Experience in curriculum management and workflow software.
