The Office Assistant plays a pivotal role in supporting both the operations and sales functions at DirtPrep. You’ll be responsible for ensuring smooth office workflows, assisting the sales team with administrative needs, and helping keep client communications and project documentation organized. If you're detail-oriented, tech-savvy, and comfortable navigating both construction lingo and digital tools, this role is for you.
Maintain organized filing systems (digital & physical) for shipping/receiving, rentals, training, and compliance materials
Assist with invoice processing, PO tracking, and scheduling service appointments
Support job site demo and installation coordination logistics (deliveries, scheduling, communications)
Monitor inventory of office and field supplies; coordinate reorders and deliveries
Other duties as assigned
Answer incoming calls, schedule product demos, team meetings, and travel for the sales team
Assist with updating CRM records (e.g., Salesforce, HubSpot), generating reports, and tracking leads
Prepare and send client proposals, service agreements, and onboarding documentation
Manage internal documentation: templates, SOPs, and presentation materials
Administrative experience, ideally in construction, sales, or technology
Strong written and verbal communication skills
Proficient in Microsoft Office, Google Workspace, and comfortable with CRM tools (Zoho experience a plus)
Detail-oriented with strong time management and multitasking abilities
Positive, solutions-driven attitude and ability to adapt to fast-changing priorities
Physical Requirements
Must be able to lift and carry up to 40 pounds occasionally (e.g., office supplies, equipment, or documents).
Ability to operate a computer and other office productivity equipment, such as printers, scanners, and copiers.
May occasionally need to ascend/descend stairs, bend, kneel, or reach overhead.
